Administrative Coordinator / Office Manager
Location: Brunswick & Hallowell, Maine
Work Arrangement: Full-time, on-site across both Maine office locations
Reports to: Head of People
Pay Range: $45,000–$55,000 annually

We’re looking for an Administrative Coordinator / Office Manager to become a go-to resource for our team and take ownership of the day-to-day details that keep our workplaces running smoothly.
This is not a sit-at-your-desk-all-day administrative role. You’ll work across our Brunswick and Hallowell offices, coordinate everything from travel and company events to office supplies and vendors, welcome employees and visitors, and help make sure our teams have what they need to do their best work. You’ll also provide remote administrative support to our Avenza Systems team in Canada as needed.

What You’ll Do
- Own the day-to-day coordination of our Brunswick and Hallowell offices, helping ensure both locations are organized, functional, welcoming, and running smoothly.
- Keep our workplaces stocked and ready by coordinating office and kitchen supplies, food and beverages for meetings and events, mail, packages, and outgoing shipments.
- Coordinate business travel for employees and executives across our U.S. and Canadian teams, including flights, hotels, ground transportation, itineraries, conferences, trade shows, and company meetings.
- Help bring company meetings, events, employee activities, and celebrations together by coordinating schedules, logistics, vendors, food, supplies, and other details.
- Provide administrative support to leaders and teams across Blue Marble Geographics and Avenza Systems, including scheduling, document and file organization, vendor coordination, invoices and receipts, and special projects.
- Serve as a welcoming point of contact for employees, visitors, and vendors and help respond to general office needs and inquiries.
- Partner with our People team to help prepare for new employees, including workspace readiness and onsite onboarding logistics, and support employee engagement and workplace initiatives.
- Help identify and address day-to-day office needs before they become problems—and look for ways to make our administrative and workplace processes even better.
What You’ll Bring
- 2+ years of experience in office administration, office coordination, administrative support, hospitality, or a related role.
- Strong organizational skills and attention to detail, with the ability to manage multiple priorities and follow through.
- A proactive, resourceful approach—you’re comfortable taking ownership, figuring things out, and knowing when to ask for help.
- Excellent written and verbal communication skills and a professional, approachable, service-oriented style.
- Proficiency with Google Workspace or similar productivity and collaboration tools, along with strong general computer skills and the ability to learn new systems.
- Sound judgment and discretion when working with confidential or sensitive information.
- The ability to work effectively with employees and leaders across different teams and locations.
- A high school diploma or equivalent, or an equivalent combination of education and relevant experience.
- Availability to work on-site across our Brunswick and Hallowell, Maine offices.
Even Better If You Have
- 3+ years of office management, administrative coordination, or similar experience.
- Experience coordinating executive travel, company meetings, conferences, employee events, or other business activities.
- Experience supporting senior leaders or coordinating vendors, facilities, or workplace operations.

Compensation
The anticipated pay range for this position is $45,000–$55,000 annually. Actual compensation will be determined based on the successful candidate’s relevant experience, skills, and qualifications.
