About Us:
At Brazos Valley Eyecare, we are committed to providing exceptional eye care and personalized service to our patients. Our team is passionate about creating a welcoming and professional environment where patients feel cared for and supported throughout their visit. We're looking for an organized, friendly, and proactive Optometric Office Assistant to join our team and assist in managing the front office operations while delivering top-notch customer service.

Position Overview:
The Optometric Office Assistant will primarily serve as the receptionist for the practice, greeting patients, scheduling appointments, and managing various front-office responsibilities. In addition, the role includes light optometric technician responsibilities such as pre-testing patients and assisting with clinical workflow as needed. This role requires excellent communication skills, a customer-oriented attitude, and a strong ability to multitask in a busy office setting.

Key Responsibilities:

Front Desk Reception: Greet patients with a warm and friendly attitude, ensuring they feel welcome and comfortable from the moment they enter.
Appointment Scheduling: Manage patient appointments, schedule exams, and follow up on appointments via phone or email.
Answering Calls & Emails: Respond to patient inquiries, provide information on services, and relay messages to the appropriate team members.
Patient Intake: Assist patients with completing necessary paperwork, including insurance forms, medical history, and consent forms.
Insurance Verification: Verify patient insurance coverage and benefits, and assist with billing inquiries.
Maintaining Records: Ensure accurate patient records are entered and maintained in the system, adhering to confidentiality standards.
General Office Support: Keep inventory of office supplies, prepare exam rooms for patients, and ensure the office is clean, organized, and ready for daily operations.
Conduct basic pre-testing procedures (e.g., autorefractor, tonometry, visual acuity)
Assist with patient history intake and documentation in EHR
Prepare exam rooms and equipment for use by the optometrist
Educate patients on lens care and eyewear options when appropriate
Support the optometrist and other staff with day-to-day clinical flow

Qualifications:

High school diploma or equivalent (Associate's degree or higher preferred).
Prior experience in a customer service role, preferably in a healthcare or medical office setting.
Excellent verbal and written communication skills.
Strong attention to detail and organizational skills.
Ability to handle a high-volume of phone calls and in-person interactions.
Proficient with office software (Microsoft Office Suite) and experience with electronic health records (EHR) systems preferred.
Knowledge of optometry or healthcare terminology is a plus but not required.
Ability to maintain a professional demeanor in a fast-paced environment.
Bilingual a plus!
Weekend availability required!
