Full Job Description

We are seeking a highly organized, proactive, and trustworthy Executive Assistant & Operations Manager to provide high-level administrative and personal support to the owners of our business.

This is more than a traditional administrative role. You will serve as a trusted right hand to the owners, bringing structure and follow-through to a dynamic environment that spans healthcare operations, business projects, and personal responsibilities.

The ideal candidate anticipates needs rather than simply responding to requests, manages multiple priorities with ease, and exercises excellent judgment, discretion, and a strong service orientation. The role begins at roughly 20 hours per week, with the potential to grow into a full-time position as the organization expands.

Key Responsibilities

Executive & Administrative Support

Manage the owners' Outlook calendar, coordinating internal and external meetings, appointments, and competing priorities across professional and personal schedules.
Answer, screen, and direct incoming calls professionally.
Manage correspondence, reminders, and action items, maintaining an active task list so deadlines and commitments are tracked through completion.
Maintain confidential organizational, business, financial, legal, personnel, and personal records.

Documentation & Communication

Draft, edit, and proofread correspondence and business documents, including reports, presentations, memos, letters, and invoices.
Prepare meeting agendas and briefing materials; compile, organize, and distribute meeting minutes and action items.
Maintain organized electronic and physical filing systems and retrieve documents as needed.
Handle general administrative tasks such as scanning, copying, and mailing.
Conduct research and summarize findings into concise, actionable information for the owners.

Business & Project Support

Track key projects, initiatives, deadlines, and deliverables using task trackers, dashboards, and accountability systems.
Coordinate with team members, vendors, contractors, and professional service providers to move projects forward, including contracts, invoices, and scheduling.
Anticipate potential issues and follow up proactively to keep priorities moving.
Support business performance tracking and prepare periodic reports and briefing materials.
Support special projects and business initiatives as assigned.

Healthcare Business Support

Provide administrative coordination for the organization's healthcare operations, including the new-patient intake workflow.
Track licensing, credentialing, accreditation, compliance, and renewal deadlines.
Coordinate communications and documentation with healthcare vendors, partners, and other stakeholders.
Support marketing, physician and referral outreach, conferences, and business-development activities.
Organize healthcare-related records while maintaining appropriate confidentiality.

Meetings, Events & Governance Support

Coordinate meetings, conferences, appointments, and business events involving clients, vendors, employees, and other stakeholders.
Provide administrative and logistical support for leadership, or team meetings, including materials, scheduling, and follow-up.
Support networking events and other external engagements.

Travel & Logistics

Coordinate domestic and international business and personal travel, including flights, accommodations, ground transportation, and reservations.
Develop detailed itineraries for multi-city and international trips, with contingency arrangements when appropriate.
Coordinate logistics for conferences, business events, and family travel.

Personal & Family Support

Provide personal administrative support to the owners, including household-related scheduling, vendors, service providers, and occasional errands.
Assist with confidential financial, banking, legal, property, or household matters as directed.
Maintain the same professionalism and discretion across business and personal responsibilities.

Office Support

Assist with the day-to-day organization and administrative operation of the office.
Coordinate office vendors, supplies, and services, keeping the office environment organized and functional.

Additional Responsibilities

Handle sensitive financial, business, healthcare, personnel, legal, and personal information with the utmost discretion.
Take ownership of assigned work and follow through without constant supervision.
Perform other administrative, operational, and special-project duties as assigned.

Qualifications Required

Minimum of a High school diploma or equivalent.
Strong proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
Excellent written and verbal communication, with strong grammar, proofreading, and business-writing skills.
Exceptional organizational and time-management skills, with the ability to manage multiple priorities and strong attention to detail.
Ability to work independently, exercise sound judgment, and take initiative.
Demonstrated ability to handle confidential and sensitive information with discretion.
Comfortable operating in a fast-paced, entrepreneurial environment where priorities evolve.

Qualifications Preferred

Minimum 2 years of experience as an Executive Assistant, Administrative Assistant, Office Coordinator, Operations Coordinator, Office Manager, or in a similar role.
Previous administrative experience in healthcare — within a pharmacy, medical practice, hospital, or other clinical environment.
Experience directly supporting a CEO, senior executive, physician, entrepreneur, or business owner.
Familiarity with healthcare licensing, compliance, credentialing, or recruiting processes.
Experience coordinating complex domestic and international travel.
Experience supporting multiple businesses, entrepreneurial ventures, or a family-office environment.
