Full Job Description

Job Overview
The Administrative Coordinator at Behavior Bridges ABA LLC ensures seamless administrative support and exceptional client experiences across our therapy services. You’ll manage everything from securing authorizations and processing referrals to onboarding new families and fielding phone inquiries. In addition, you’ll audit therapist schedules and session notes for billing accuracy, verify insurance eligibility, track clinician credentials, and drive engagement through our social media channels. This multifaceted role is key to maintaining operational excellence and fostering strong relationships with clients, therapists, and payers.

Roles & Responsibilities

Coordinate and secure prior authorizations for therapy services to ensure uninterrupted care.
Process incoming referrals and prescription scripts, liaising with physicians and insurance providers for timely service initiation.
Lead new-client onboarding by collecting required documentation, conducting welcome calls, and scheduling initial assessments.
Serve as the primary point of contact for all phone inquiries, answering questions, routing calls, and maintaining a professional front-line experience.
Partner with therapists and families to provide ongoing client therapy support, troubleshoot scheduling conflicts, and escalate clinical concerns.
Perform weekly audits of therapist schedules and hours, ensuring accuracy and compliance with company standards.
Review session notes for billing accuracy, prepare detailed billing logs, and transmit them to our third-party billing specialist.
Verify client eligibility with Medicaid and commercial insurance plans, updating records to reflect coverage status and authorizations.
Monitor therapist credentials—tracking expirations and coordinating renewals—to maintain a fully credentialed clinical team.
Manage Behavior Bridges ABA LLC’s social media platforms, crafting and publishing content to engage our community and enhance brand visibility.

Requirements

Bilingual proficiency is preferred to enhance communication with diverse clientele.
Proven experience in office management or administrative roles.
Strong clerical skills with attention to detail and accuracy in documentation.
Excellent typing skills with the ability to produce high-quality documents efficiently.
Experience with phone systems and maintaining professional phone etiquette.
Ability to manage multiple tasks simultaneously while maintaining a positive attitude.
Strong organizational skills with the capability to prioritize effectively.
