Job Summary

We are seeking a dynamic and friendly Front Desk Associate to be the welcoming face of our organization. Responsibilities

Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly.
Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette.
Handle front desk duties including data entry, filing, and maintaining organized records.
Support office management tasks such as calendar management, appointment scheduling, and document proofreading.
Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial accuracy.
Maintain office supplies inventory and coordinate with vendors as needed to ensure smooth operations.
Provide excellent customer support by addressing inquiries, resolving issues, and offering assistance with a positive attitude.
Use productivity software like Microsoft Office and Google Workspace to prepare reports, correspondence, and presentations.
Support clerical tasks such as typing, proofreading, and data entry with high accuracy and attention to detail.
Contribute to a professional environment by demonstrating strong organizational skills and effective time management.

Qualifications

Proven experience in office management, administrative support, or front desk roles; dental or medical receptionist experience is a plus.
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and familiarity with productivity software.
Excellent communication skills with the ability to handle multi-line phone systems and demonstrate proper phone etiquette.
Bilingual abilities are highly desirable to serve diverse client needs effectively.
Demonstrated organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
Experience with bookkeeping software such as QuickBooks is preferred.
Previous clerical experience including data entry, filing, proofreading, and calendar management is essential.
Knowledge of medical or dental receptionist duties is advantageous but not required.
Strong customer service orientation with a friendly demeanor and problem-solving skills.
Ability to handle sensitive information discreetly while maintaining professionalism at all times.
