We’re excited to be growing our residential property operations and are looking for another experienced Property Manager to join our team. This is a great opportunity for someone who enjoys organized systems, clear communication, tenant relations, leasing, maintenance coordination, and taking ownership of day-to-day property operations.
The position may involve working alongside existing management as we expand coverage across multiple properties.
Property Manager or Assistant Property Manager — (Burlington, IA)
Location: Burlington, IA — in-office (this is not a remote role)
Schedule: Full-time, Monday–Friday, 9 AM – 5 PM. No after-hours expected.
Compensation: DOE (commensurate with experience). Health insurance, paid time off and paid holidays, 401(k) / retirement plan.
Property Owner and operates a 50-unit residential portfolio across roughly 10 small multi-family and single-family properties in Southeast Iowa and surrounding communities). We have been in business for years, our process is documented, and we run a tight, professional operation.
We are adding to our property management team, and depending on background we will hire either a full Property Manager or an Assistant Property Manager. We are open to candidates with different experience levels, as long as they are organized, dependable, and comfortable working in a structured property management office.
How we operate
We are a digital-first office. Day-to-day tenant and vendor work happens in writing, not face-to-face:
- Buildium is our system of record for tickets, leases, listings, and tenant accounts.
- Email is the primary channel. This role involves a steady volume of email communication, so strong written organization is important. Fast, clear, single-topic written communication is how the work moves.
- Phone work is mostly with vendors, references, courts, housing authorities, and applicants. A typical day includes 10–25 calls on the tenant and business queues.
- Slack and SharePoint/OneDrive carry photo and video evidence and standing files.
- Almost no face-to-face tenant contact. Showings on vacant units only; occupied units use online video tours.
What you will own day-to-day (shared with another property manager)
- Triage every Buildium maintenance ticket from intake to closure with photos and a final status note.
- Run the full leasing cycle: list on our website, Facebook Marketplace, and Zillow; field inquiries; schedule showings on vacant units; collect applications; run credit, background, and two employer references; write a tight side-by-side risk comparison for the owner; prepare and send the Buildium lease for e-sign; coordinate move-in.
- Coordinate vendors across HVAC, plumbing, electrical, appliance repair, carpet and flooring, roofing, snow and lawn, trash, locksmith, and pest control.
- Solicit and present written quotes for any non-emergency repair before work begins.
- Handle move-out walkthroughs, deposit reconciliation, charge-out documentation, and the disputes that come with them.
- Handle Section 8 / HUD coordination, city rental inspections, and the paperwork that goes with them.
- File 3-day notices, 7-day notices, evictions, and coordinate with sheriffs and small-claims court.
- Maintain the rent roll, vendor list (with diagnostic-fee sheet), and per-property folder structure.
- Send end-of-day status updates on open items so the owner has visibility without having to ask.
What success looks like
- Work orders close cleanly.
- Open items have a written status update at least every 24–48 hours.
- Quote packages reach the owner with two or three bids and your written recommendation.
- The owner reviews work through email generally.
- Tenant concerns and vendor issues are handled calmly, professionally, and with clear documentation.
You will be a fit if you can
- Process 20-50 emails a day plus a handful of phone calls without things slipping.
- Hold the line on process
- Tell the difference between true emergencies (no heat in winter, active flood, fire, no power) and routine work, and route accordingly.
- Work independently inside a documented system, follow up on pending items rather than waiting, and surface a problem the moment it stalls instead of letting it sit.
- Take ownership when follow-up is needed and communicate a clear plan to move things forward.
- Be available to work Monday thru Friday.
Required experience
- Minimum 1 year of residential property management experience. Multi-family preferred.
- Hands-on experience with at least one property management software platform (Buildium strongly preferred; AppFolio, Yardi, RentManager, Innago, TenantCloud, or similar also accepted).
- Demonstrated experience running tenant screening (credit, background, employer and landlord references).
- Working speed in Microsoft 365 (Outlook, SharePoint/OneDrive) and comfort using a VoIP phone system.
- Familiarity with Iowa landlord-tenant law, eviction procedure, and Section 8 / HUD inspection workflow is a strong plus.
Schedule, location, and what this is not
- Monday–Friday, 9 AM – 5 PM, in our office.
- This is an in-office role based in Burlington, IA. Most work is handled from the office, with occasional property-related coordination as needed.
- After-hours emergencies route to a separate on-call voicemail. We do not expect — or want — you replying to tenant emails after 5 PM in a way that could be read as emergency service.
- We are an organized, written-process operation.This role is best for someone who enjoys clear processes, organized follow-up, and documented communication.. If you like predictable systems and clean documentation, you will do well here.
