Job Overview

We are seeking a dynamic and organized Secretaria Escolar y Personal de Mantenimiento to join our educational institution. This vital role combines administrative excellence with operational support, ensuring the smooth functioning of school activities and maintenance operations. The ideal candidate will be a proactive communicator, highly organized, and capable of managing multiple responsibilities with efficiency. Bilingual proficiency is highly valued to facilitate communication with diverse stakeholders. Responsibilities

Serve as the first point of contact at the front desk, greeting visitors, parents, staff, and students with professionalism and courtesy
Manage multi-line phone systems, directing calls accurately and efficiently while providing excellent customer service
Maintain organized records through filing, data entry, and document proofreading to ensure accuracy and accessibility
Oversee calendar management for school events, meetings, and maintenance schedules using Google Workspace and Microsoft Office tools
Handle bookkeeping tasks using QuickBooks or similar software to manage petty cash, invoices, and expense reports
Coordinate maintenance requests by communicating effectively with the maintenance team and tracking work orders
Support administrative tasks such as photocopying, typing documents, preparing reports, and managing office supplies

Experience

Previous office management or administrative experience in an educational or similar setting is preferred
Demonstrated clerical experience including filing, data entry, proofreading, and document organization
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and basic bookkeeping software like QuickBooks
Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
Bilingual fluency in English and Spanish is highly desirable to support diverse community interactions
Proven customer service skills with professional phone etiquette and the ability to handle inquiries courteously
Experience with personal assistant duties such as calendar management and time management is a plus
