Scheduling & Administration CoordinatorCanaan, CT

About the Position:

The Scheduling & Administration Coordinator plays a vital role in supporting the daily operations of our inpatient programs by coordinating client schedules, managing administrative processes, and ensuring seamless communication across clinical departments. This position is ideal for a highly organized, detail-oriented professional who enjoys working in a collaborative healthcare environment and thrives in a fast-paced setting where no two days are the same.

Schedule:

Sunday - Thursday: 8:00 am - 4:30 pm

Your Role:

Coordinate scheduling for client appointments, groups, transfers, and other clinical services across assigned inpatient departments.
Maintain accurate schedules, documentation, billing codes, and service records within the electronic medical record.
Collaborate with clinical teams, Client Services, Family Wellness, and other departments to ensure continuity of care throughout the client experience.
Schedule and coordinate outside appointments and services from admission through discharge.
Monitor scheduling metrics, complete audits, and maintain data accuracy to support operational excellence.
Cross-train across multiple scheduling functions to provide coverage and ensure seamless department operations.
Prepare daily team meeting materials and support administrative workflows, including room scheduling and service requests.
Deliver exceptional customer service when communicating with clients, families, and internal stakeholders.
Assist with special scheduling initiatives, weekend programming logistics, and other administrative projects as needed.

Qualifications:

High school diploma or equivalent required; associate's or bachelor's degree preferred.
Previous administrative, scheduling, or healthcare coordination experience preferred.
Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
Excellent communication, customer service, and interpersonal skills.
High level of accuracy and attention to detail.
Proficiency with Microsoft Office and the ability to learn new software systems.
Comfortable working collaboratively across multidisciplinary teams.
Experience in behavioral healthcare, substance use treatment, or a healthcare setting is a plus.

Compensation:

The base rate of pay for this position is $20.00 to $22.00 per hour. Actual pay is determined based on a number of job-related factors including skills, education, training, credentials, experience, scope and complexity of role responsibilities, geographic location, performance, and working conditions.
