Full Job Description

Position Summary

At GSI, we combine the pace and creativity of a start-up with deep hands-on experience in industrial inkjet technology. We are an exciting growth company where engineering, assembly, printhead technology, ink systems, and ink production all come together under one roof to build practical, high-performance printing solutions for real-world production environments. We are seeking a reliable, organized, and detail-oriented Front Office Coordinator to support our daily operations. This role is responsible for coordinating international shipping and receiving of printers, ink, parts, and supplies, as well as assisting with service quotes, customer orders, invoicing, and general office administration.

The ideal candidate is a self-starter who is comfortable handling multiple responsibilities in a small business environment, communicates professionally with customers and vendors, works well with our existing front office team member, and has strong attention to detail.

Key Responsibilities

Shipping & Receiving

· Coordinate domestic and international shipments of printers, ink, parts, and related equipment.

· Prepare shipping documents, packing slips, customs forms, commercial invoices, and export paperwork as needed.

· Work with carriers, freight forwarders, and customers to arrange shipments and track deliveries.

· Receive incoming equipment, supplies, and customer service items.

· Maintain accurate shipping and receiving records.

· Communicate shipment status, delays, and tracking information to customers and internal staff.

Service Quotes & Customer Support

· Prepare and send service quotes for printer repairs, parts, labor, and related services.

· Communicate with customers regarding service status, pricing, approvals, and timelines.

· Assist with opening, tracking, and updating service jobs.

· Coordinate with technicians or service staff to gather information needed for quotes and orders.

Ordering & Invoicing

· Enter customer orders accurately into the company system.

· Create invoices for products, services, shipping, and repair work.

· Process purchase orders and assist with vendor ordering.

· Follow up on outstanding approvals, paperwork, or billing information.

· Maintain organized records of quotes, orders, invoices, and shipments.

General Front Office Duties

· Answer phones and respond to customer emails professionally.

· Greet visitors, customers, vendors, and delivery drivers.

· Maintain office files, records, and administrative documents.

· Support management and team members with day-to-day administrative tasks.

· Help maintain a clean, organized, and efficient front office environment.

Qualifications

· Previous office administration, customer service, shipping/receiving, or order processing experience preferred.

· Experience with international shipping, customs paperwork, or freight coordination is a plus.

· Strong computer skills, including email, Microsoft Office, spreadsheets, and business software.

· Experience with NetSuite, QuickBooks, ERP systems, shipping platforms, or CRM systems is helpful.

· Excellent written and verbal communication skills.

· Strong attention to detail and accuracy.

· Ability to prioritize tasks and manage multiple responsibilities.

· Self-motivated and able to take initiative while working cooperatively with the existing front office person.

· Comfortable working in a small company where responsibilities may vary day to day.

· Professional, dependable, and customer-focused.

Desired Skills

· Familiarity with printers, inkjet equipment, manufacturing, or technical service environments.

· Basic understanding of service quoting, parts ordering, and invoicing.

· Ability to communicate clearly with customers, vendors, shipping companies, and internal staff.

· Problem-solving mindset and willingness to learn.

Work Environment

This is an in-office position in a small business environment. The role may require occasional lifting or handling of boxes, printer parts, ink supplies, or shipping materials.

Pay: $25.00 - $30.00 per hour
