Full Job Description

Overview

The Inventory Specialist / Maintenance Purchasing Coordinator will work in a machine shop environment and is responsible for purchasing materials and services, maintaining inventory accuracy, supporting maintenance operations, managing vendor relationships, and coordinating multiple projects simultaneously. This role serves as a key link between Maintenance, Production, Accounting, and outside vendors to ensure critical parts, supplies, and services are available when needed.

Responsibilities

Purchasing & Vendor Management

Purchase supplies, machine parts, and services from approved vendors.
Create and process purchase orders for maintenance and inventory items.
Research products, compare pricing, and identify cost-effective purchasing options.
Evaluate vendors based on quality, pricing, reliability, technical support, and availability.
Track purchases, shipments, and delivery schedules.
Assist with onboarding new vendors and maintaining accurate vendor records.
Build and maintain positive vendor relationships.

Inventory Control

Receive and verify incoming orders and inventory.
Maintain accurate inventory records and inventory management systems.
Assign parts to the correct machine, work order, or project.
Conduct cycle counts and assist with annual physical inventory processes.
Investigate and resolve inventory discrepancies.
Ensure critical production and maintenance parts are available when needed.

Maintenance Support

Enter new work orders and close completed work orders in maintenance systems.
Maintain reports and records within Syspro and Maintenance Care software.
Track preventative maintenance schedules and coordinate service contracts as required.
Assist maintenance personnel with maintaining a clean and organized machine shop.
Perform basic maintenance tasks when necessary.
Work closely with Maintenance and Production teams to prioritize urgent machine and production needs.

Project Coordination

Manage and organize multiple capital and maintenance projects simultaneously.
Coordinate purchasing and tracking of materials for large-scale projects.
Monitor project timelines, budgets, and material requirements.
Ensure projects remain organized and properly documented.

Safety & Compliance

Perform monthly machine shop safety audits.
Assist with annual food safety and facility audits.
Support company safety initiatives and compliance programs.
Maintain accurate records and documentation for audits and inspections.

Administrative Responsibilities

Submit purchasing and receiving documentation to Accounting.
Generate, maintain, and organize reports from Syspro and Maintenance Care.
Run company errands and perform other duties as assigned.
Support cross-functional departments as business needs require.

Qualifications

Required

High School Diploma or GED.
Strong organizational and multitasking abilities.
Excellent attention to detail and follow-through.
Computer proficiency, including Microsoft Office and ERP systems.
Strong communication and problem-solving skills.
Ability to prioritize changing workloads and deadlines.
Ability to work independently and collaboratively across departments.

Preferred

Experience in purchasing, inventory control, maintenance coordination, manufacturing, or supply chain operations.
Experience with Syspro, Maintenance Care, or similar ERP/CMMS systems.
Clean driving record.
Ability to operate or learn to operate a forklift.
Ability to drive a pick-up truck and pull a trailer.
Experience managing multiple projects simultaneously.

Physical Requirements

Ability to sit, stand, walk, bend, and lift throughout the workday.
Ability to lift up to 50 pounds occasionally.
Ability to work in both office and manufacturing environments.
