Job description:

Title: Staff Accountant
Reports to: Controller

Classification: Full-time - Exempt

Job Description
The staff accountant will take full ownership of the day-to-day management of Accounts Receivables and general accounting functions. Accounts receivable duties include ensuring the accuracy and efficiency of processing incoming payments, billing customers, and handling collections. General accounting includes preparing journal entries, reports, reconciling accounts and ensuring compliance with financial regulations.

This position addresses tight deadlines and many accounting activities to ensure proper processing and receipt of payments.

Essential Functions

Assist with all month-end closing tasks and prepare schedules to process accounts and incoming payments in compliance with financial policies and procedures.
Prepare customer invoices and credits and follow up with internal departments regarding any questions or corrections.
Prepare invoices and bank deposits and reconcile bank statements.
Reconcile the accounts receivable ledger to ensure all payments are accounted for and properly posted.
Responsible for working with all internal departments to close orders so they are billed timely.
Verify discrepancies to resolve clients’ billing issues.
Facilitate payment of invoices due by sending billing reminders and monthly statements and contacting clients and customers.
Generate financial statements and reports detailing accounts receivable status.
Maintain customer account billing information.
Process credit card payments and refunds.
Utilize customer billing portals and websites to submit and track customer invoices and payments.
Assist with obtaining, maintaining organization of, and facilitating communication regarding Certificates of Insurance.
Assist with general ledger reconciliation and journal entries.
Support the preparation of monthly, quarterly, and fiscal financial statements.
Participate in audits and assist with the preparation of audit schedules.
Initiate communication with the manager regarding recommendations of process improvements to streamline efficiency.
Assist with AP functions as needed.
Other duties are assigned to support the accounting department or other departments.

Skills

Bachelor’s degree in accounting, Finance or related field (Required)
3-years of accounting experience preferred.
Experience with month-end close processes.
Familiarity with ERP systems is a plus.
Strong knowledge of Generally Accepted Accounting Principles (GAAP).
Solid understanding of basic accounting principles, fair credit practices, and collection regulations.
Proven ability to calculate, post and manage accounting figures and financial records
Data entry skills, along with a knack for numbers
Hands-on experience in operating spreadsheets and accounting software
Proficiency in MS Office
Highly customer service oriented and great negotiation skills
High degree of accuracy and attention to detail

Supervisory Responsibility

This position does not have any supervisory responsibilities.

Work Environment

This job operates in a professional office environment. It routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

This is not a sedentary role; the A/R Specialist is expected to be hands-on and provide staff with training on accounting-related matters, going over to other departments as needed.
