Job Overview
We are seeking an energetic and detail-oriented Front Desk Associate to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support office management tasks to ensure a smooth and professional environment. Your enthusiasm and organizational skills will help create a positive first impression for visitors, clients, and team members alike. Responsibilities

Greet visitors warmly and direct them appropriately, ensuring a positive experience from the moment they arrive
Manage multi-line phone systems, screen calls, and route inquiries efficiently using professional phone etiquette
Handle scheduling tasks such as calendar management and appointment setting with precision and timeliness
Maintain organized filing systems, perform data entry, and manage document proofreading to support office operations
Utilize computer skills across Microsoft Office, Google Workspace, and other office management software to prepare reports, correspondence, and presentations
Support administrative functions including photocopying, faxing, mailing, and inventory management of office supplies
Provide excellent customer support by addressing inquiries promptly and professionally in person or via phone or email

Requirements

Proven office experience with strong clerical skills including filing, data entry, and proofreading
Proficiency in computer literacy with familiarity in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
Experience with multi-line phone systems and phone etiquette to handle calls effectively
Bilingual abilities are highly desirable to serve diverse client needs
Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
Previous experience in customer service or as a receptionist in medical or dental settings is preferred
Knowledge of QuickBooks or bookkeeping experience is a plus for handling basic financial tasks
Excellent time management skills with the ability to multitask seamlessly while maintaining attention to detail
