The Rentz Team, Real Estate Done Differently

The Rentz Team is one of Oklahoma’s top-producing Keller Williams real estate teams, and we are looking for a Listing Operations Manager to join our growing team in Tulsa.

We are looking for someone who is organized, proactive, tech-savvy, detail-oriented, and passionate about creating an exceptional client experience.

This role is an important part of our Listing Division. You will work closely with multiple agents and our leadership team to keep listings, transactions, systems, marketing, and communication running smoothly.

WHAT YOU’LL DO

Listing & Transaction Operations

Oversee the administrative process from new listing through closing
Manage listing files, checklists, timelines, and important dates
Send appropriate transaction emails and correspondence to clients
Communicate with sellers, agents, and office administration
Monitor contracts and deadlines to keep transactions on track
Send next-step information to sellers
Maintain spreadsheets, calendars, compliance documents, and weekly reports
Help agents stay accountable to required systems and deadlines
Assemble closing gifts
Ensure every listing receives a consistent, high-quality experience

Marketing & Systems

Create and update marketing materials in Canva using established templates
Assist with brochures, flyers, Just Listed/Just Sold campaigns, postcards, and other marketing projects
Oversee the Social Media Dept in running listing ads
Help implement and improve listing systems and checklists
Track lead sources and assist with database and lead-generation activities
Identify opportunities to improve efficiency and organization
Present system updates, successes, and missed steps during team meetings

WHAT WE’RE LOOKING FOR

The right person will be:

Highly organized and detail-oriented
A strong communicator who is friendly and professional
Proactive and able to take initiative without constant direction
Excellent at follow-through and meeting deadlines
Comfortable juggling multiple priorities
Tech-savvy and willing to learn new systems
Confident communicating with clients and real estate professionals
A team player who genuinely enjoys helping others succeed
Passionate about providing an exceptional client experience
Always looking for ways to improve systems and processes

Real estate experience is a plus, but we are willing to train the right person. If you are not currently a Realtor, there may be an opportunity to pursue licensing in the future.

TECHNOLOGY EXPERIENCE

Experience with any of the following is a plus:
