Full Job Description

REPORTS TO: Development Director

HOURS: 29 hours/week (some early mornings/evenings)

Schedule: Mon-Thurs 8:00am – 2:30pm (6hrs/day with a 30 min unpaid lunch); Friday: 8:00am – 1:30pm (5hrs with a 30 min unpaid lunch)

Position Purpose:

The Development Associate is an emerging fundraising professional who plays a vital role in advancing the mission of Crossroads by supporting data management, donor communication, fundraising campaigns, and special events. Serving as a key member of the Development team, this position helps ensure the successful execution of day-to-day fundraising activities while contributing to efforts that engage donors and grow philanthropic support for the organization.

Working closely with the Development Director, the Development Associate is responsible for gift processing, donor database management, donor stewardship, fundraising campaign support, and assistance with special events. This role maintains accurate donor records, prepares donor communications and development materials, conducts research to identify potential funding opportunities, and supports email marketing and social media efforts that promote fundraising initiatives and strengthen donor engagement.

Designed for an early-career professional, this position offers hands-on experience across multiple areas of nonprofit development, including annual giving, donor stewardship, fundraising communications, and development operations. The ideal candidate is highly organized, detail-oriented, curious, and eager to build a career in nonprofit fundraising while making a meaningful impact in the communities we serve.

Key Responsibilities:

Gift Processing & Database Management

Accurately process and record incoming gifts in the donor database in a timely manner.
Maintain accurate donor records, including contact information, giving history, and donor engagement activities.
Perform routine data entry and quality checks to ensure database accuracy and integrity.
Assist with generating donor reports, mailing lists, and other development-related reports as needed.
Maintain organized donor files and documentation while ensuring confidentiality of donor information.

Donor Stewardship & Communications

Support donor stewardship efforts through timely gift acknowledgments, thank-you letters, and other donor communications.
Assist in preparing donor correspondence, stewardship materials, and development updates.
Help coordinate donor touchpoints and engagement activities that support strong donor relationships.
Ensure communications reflect Crossroads’ mission, impact, and commitment to the community.

Fundraising Campaign Support

Assist with the execution of annual giving campaigns, fundraising appeals, and donor engagement initiatives based on established campaign strategies and timelines.
Support email marketing efforts by preparing, scheduling, and tracking campaign communications.
Implement social media content related to fundraising campaigns, donor recognition, and organizational impact.
Create graphics and visual assets for fundraising campaigns, email communications, and social media posts while following established brand guidelines.
Assist with gathering campaign data and reporting insights to support continuous improvement of fundraising communications.

Special Events Support

Support event logistics, including preparation of materials, registration support, and follow-up activities.
Assist with event communications, attendee information, and post-event stewardship efforts.
Provide onsite support for special events, including occasional evenings and weekends.

Administrative & Team Support

Provide administrative support to the Development team, as needed.
Assist with preparing sponsorship materials, reports, and other development resources.
Participate in special projects that support the growth and effectiveness of the Development Department.
Other duties as assigned

Job Requirements

High School Diploma or equivalent required; Bachelor’s degree, or experience in nonprofit, administrative support, communications, marketing, or related fields is a plus.
Interest in building a career in nonprofit fundraising, donor engagement, and development operations.
Strong organizational skills, attention to detail, and ability to manage multiple priorities while maintaining accurate records and confidential information.
Excellent communication skills with the ability to learn new technology, collaborate with others, and support development initiatives, including occasional evenings and weekends for fundraising events.

Experience & Qualifications:

Proficiency with Microsoft Office Suite, CRM systems, and virtual collaboration tools such as Teams and Zoom.
Strong written, verbal, and interpersonal communication skills with the ability to collaborate effectively with diverse audiences.
Excellent organizational skills, attention to detail, and ability to manage multiple priorities and deadlines.
Ability to think critically, solve problems, adapt to changing needs, and work independently and collaboratively in a fast-paced, mission-driven environment.

Working Conditions

The physical environment requires the employee to work primarily in indoor warehouse offices. Some travel is required to attend meetings/events/conferences locally, statewide, and nationally. Regular workday and workweek are established with some planned weekends, early morning, evening hours, and out of area travel.

Mental Demands

The employee in this position needs to adapt well in the face of workplace stressors such as volunteer or Market shopper complaints, concerns from corporate sponsors or community partners, compliance offenses, and competing priorities of reasonable or high significance to the successful function of the department. The employee must be able to effectively interpret data and make critical decisions that may have a significant impact on the team and organization.

Physical Requirements

The employee is expected to make decisions, supervise employees, read and write, speak publicly, and interpret information and data. May be seated for periods of time and occasionally may have to lift boxes or other materials that weigh less than 50 lbs. and operate a pallet jack.
