Job Overview

We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. This pivotal role involves overseeing administrative functions, managing office procedures, and ensuring a smooth workflow across all departments. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to foster a productive and welcoming workplace. As an Office Manager, you will play a key role in supporting staff, maintaining office systems, and enhancing overall efficiency.

Duties

Manage daily office operations, including supervising administrative staff and coordinating office activities to ensure seamless functioning
Oversee front desk responsibilities such as greeting visitors, handling multi-line phone systems, and managing incoming correspondence with professionalism and courtesy
Maintain accurate records through data entry, filing, and document proofreading to support organizational needs
Utilize productivity software such as Microsoft Office (Word, Excel, Outlook) and spreadsheets to prepare reports, schedules, and presentations
Handle calendar management for executives and team members, scheduling meetings and appointments efficiently
Manage office supplies inventory, order necessary materials, and ensure equipment maintenance for optimal productivity
Provide exceptional customer support by addressing client inquiries promptly via phone or email and maintaining positive client communication

Qualifications

Proven experience in office management or administrative roles with strong organizational skills
Proficiency in Microsoft Office Suite (Word processing, spreadsheets, email management) and familiarity with productivity software
Excellent computer literacy with the ability to learn new technical tools quickly
Strong phone communication skills including phone etiquette and multi-line phone system operation
Bilingual abilities are highly desirable to serve diverse client needs effectively
Experience with QuickBooks or similar accounting software is a plus for handling basic financial tasks
Demonstrated clerical experience including data entry, filing, proofreading, and document management
Exceptional time management skills with the ability to prioritize tasks efficiently
Personal assistant or calendar management experience is advantageous for supporting executive schedules
Customer service orientation with a friendly demeanor and professional attitude
