Full Job Description

Billing Specialist / Operations Support

We are looking for a dependable and detail-oriented Billing Specialist to join our trucking operations team.

The primary responsibility of this position will be completing our weekly billing through the Evans billing portal, ensuring paperwork is accurate, complete, and submitted on time. This position will also be cross-trained in our daily operations, primarily assisting our Logistics Coordinator with paperwork, load organization, and maintaining our operational boards and documents.

Primary Billing Responsibilities

Complete and submit weekly billing through the Evans billing portal
Review driver and load paperwork for accuracy and completeness
Verify all required documents are properly attached before billing
Identify and correct missing or inaccurate billing information
Maintain organized billing records and documentation
Communicate with office staff and drivers regarding missing paperwork or information
Assist with billing discrepancies or rejected submissions
Consistently meet weekly billing deadlines

Logistics & Operations Support

The Billing Specialist will also be cross-trained to assist our Logistics Coordinator and help keep daily operations organized. Responsibilities may include:

Reviewing, sorting, and organizing load paperwork and documents
Maintaining and updating operational boards as loads progress
Ensuring completed and active loads are properly documented
Organizing paperwork for upcoming, active, and completed loads
Checking documents for missing or incomplete information
Filing and maintaining electronic and physical records
Assisting with driver paperwork and document collection
Keeping load information organized and accessible for the operations team
Assisting the Logistics Coordinator with general administrative and operational duties
Providing coverage and support for other office positions when needed

What We're Looking For

We are looking for someone who is organized, dependable, attentive, and comfortable working in a fast-paced trucking environment. This position handles a significant amount of paperwork and documentation, so attention to detail and the ability to stay organized are extremely important.

The ideal candidate should be comfortable working on a computer, learning new systems, handling multiple tasks, and keeping up with recurring deadlines. Previous experience in trucking, transportation, billing, logistics, dispatch, or administrative work.

Cross-Training & Growth

Although weekly billing will be the primary responsibility, we want this individual to understand how the rest of our operation works.

The employee will be cross-trained alongside our Logistics Coordinator and other office staff so they can assist with daily operations, provide coverage when another employee is unavailable, and become a well-rounded member of the team.

We are looking for someone who can take ownership of their billing responsibilities while also being willing to step in and help keep the operation moving when needed.

Qualifications

Experience in logistics coordination involving ocean containers.
Proven experience in, trucking, freight, or transportation logistics.
Strong understanding of port operations and proficiency with port websites (Go Port).
Working knowledge of DOT regulations, hours of service, and transportation compliance.
Proficient in Microsoft Excel and Outlook with strong data entry skills.
Excellent organizational, multitasking, and time-management skills.
Strong verbal and written communication skills with drivers, customers, and internal teams.
Ability to work under pressure, prioritize tasks, and solve problems quickly in a fast-paced environment.
High attention to detail and accuracy in managing schedules, documentation, and operational data.
Strong analytical skills to assess transportation operations and make informed decisions.
