Full Job Description

FRONT DESK ASSOCIATE

Department: Front Desk / Patient Experience Reports To: Practice Manager / Front Office Lead Status: Full-Time, Non-Exempt

Position Summary

The Front Desk Associate is a key member of the patient experience team and serves as the first point of contact for patients. This position combines exceptional customer service, scheduling, insurance verification, benefit education, and administrative support to create a seamless patient experience from the first phone call through completion of care.

The ideal candidate has healthcare front-desk experience with a strong understanding of chiropractic and/or physical therapy practices, including insurance verification, benefits, authorizations, referrals, and patient financial responsibilities.

Key Responsibilities Patient Experience

Welcome patients warmly and professionally by phone, electronically, and in person.
Create a calm, organized, and personalized patient experience.
Guide patients through check-in, their appointment, and checkout.
Answer patient questions and resolve concerns with professionalism and empathy.
Maintain a clean, organized, and welcoming front-desk environment.

Insurance Verification & Benefits

Verify patient eligibility and benefits for chiropractic and physical therapy services prior to visits.
Review benefits through Availity and/or applicable payer portals.
Confirm deductibles, copays, coinsurance, visit limitations, exclusions, authorization requirements, and other coverage details.
Identify potential coverage issues before the patient's appointment.
Document insurance information accurately in the practice management system.
Communicate benefits and estimated patient responsibility in clear, easy-to-understand language.
Coordinate with providers and the billing team when coverage or authorization questions arise.

Scheduling & Patient Intake

Schedule new and established patients according to provider availability, treatment plans, and practice protocols.
Manage cancellations, rescheduling, waitlists, and appointment reminders.
Collect and enter accurate demographic and insurance information.
Ensure required intake forms, consents, and documentation are completed.
Review patient accounts before appointments to identify missing information or outstanding requirements.

Authorizations & Referrals

Obtain and track insurance authorizations and referrals when required.
Monitor authorization dates, visit limits, and remaining approved visits.
Communicate with insurance companies, referring offices, and patients as necessary.
Ensure required documentation is obtained before services are provided.

Patient Financial Responsibilities

Collect copays, deductibles, deposits, coinsurance, and other patient balances accurately.
Explain financial expectations before services whenever possible.
Process payments and provide receipts.
Escalate complex billing questions appropriately.

Administrative & Team Support

Maintain accurate patient records, insurance information, and notes.
Use the practice management system, insurance portals, email, phone systems, and other technology efficiently.
Communicate effectively with providers and clinical staff.
Support daily workflow and help identify opportunities to improve the patient experience.
Protect patient confidentiality and follow HIPAA and practice policies.

Required Qualifications

High school diploma or equivalent.
1–2+ years of healthcare front-desk or medical administrative experience preferred.
Experience in a chiropractic, physical therapy, orthopedic, rehabilitation, or similar healthcare setting is strongly preferred.
Demonstrated experience with insurance verification and benefit interpretation.
Familiarity with deductibles, copays, coinsurance, visit limits, authorizations, referrals, and payer requirements.
Strong computer and data-entry skills.
Excellent communication and customer-service skills.
Strong attention to detail and follow-through.
Ability to manage multiple priorities in a fast-paced environment.
Ability to handle confidential patient information with professionalism and discretion.

Preferred Experience

Chiropractic office experience.
Physical therapy office experience.
Experience verifying benefits through Availity or other payer portals.
Experience with Jane or another healthcare practice management system.
Familiarity with ICD-10 and CPT terminology.
Experience working with commercial insurance, Medicare, workers' compensation, or personal injury cases is a plus.
