Full Job Description

The Chautauqua County Office of Aging Services is currently accepting applications for the position of Operations Assistant (Spanish Speaking) based in our Mayville, NY office. This para-professional role provides vital administrative support to help ensure the efficient operation of departmental functions, with a specific emphasis on serving Spanish-speaking individuals.

The Operations Assistant plays a key role in supporting office-wide operations by performing complex administrative tasks, coordinating the work of lower-level staff, and independently handling assignments that require strong organizational and communication skills. This position differs from clerical roles by involving more advanced responsibilities and leadership functions.

The ideal candidate will be fluent in both English and Spanish and will have the ability to assist clients and staff effectively in both languages. The role is performed under the general supervision of a higher-level administrator, with some discretion to exercise independent judgment. Supervision of a small clerical team may also be required.

Typical Work Duties Include:

Responding to inquiries regarding employment and assistance services
Reviewing applications and screening walk-in clients for eligibility
Gathering information and assisting with basic research and case investigations
Preparing and maintaining reports on program usage and other office data
Serving as an informational point of contact with knowledge of departmental practices and procedures
Auditing bills, time sheets, payroll records, and other documents for accuracy
Performing general office tasks such as filing, preparing correspondence, and maintaining records
Creating and distributing bulletins, notices, and internal communications
Ordering and maintaining office supplies and distributing mail
Handling petty cash and collecting fees when required
Assigning and reviewing clerical work and assisting in training new staff
Answering phone calls and providing routine information to clients and the public
Entering and retrieving data in office computer systems and databases
Providing Spanish-language translation for clients and staff as needed

Minimum Qualifications: Graduation from high school or possession of a high school equivalency diploma and:

A. Two (2) years of clerical experience involving customer service; OR

B. Completion of an Associate's degree or two-year business college program in a secretarial science or business administration; OR

C. Completion of 60 semester credit hours with a concentration in business administration or secretarial science; OR

D. An equivalent combination of training and experience as defined by the limits of A, B & C above.

Note: The candidate's ability to perform bi-lingual communication in English and Spanish will be assessed by the appointing authority and/or a supervisor during the probationary period.
