Full Job Description

Join the Synergi MedSpa Team

Synergi MedSpa is seeking a warm, energetic, polished, and highly motivated MedSpa Coordinator to join our team. We are looking for someone who genuinely enjoys people, thrives in a fast-paced environment, and understands that exceptional client experiences are at the heart of everything we do.

Our ideal candidate is a natural host who can effortlessly move between welcoming clients, managing a busy schedule, answering phones, supporting our providers, assisting with sales, and creating an exceptional experience from the moment a client walks through our doors.

This is an in-person, full-time position, Monday–Friday, with some evening hours required.

What You'll Do

Client Experience & Concierge Service

Welcome every client with warmth, professionalism, and genuine hospitality.
Create a polished, personalized experience from check-in through check-out.
Build meaningful relationships with clients and help them feel comfortable and cared for.
Provide knowledgeable, confident explanations of our services, products, and membership offerings.
Provide exceptional telephone, text, and in-person communication.
Respond to client questions and requests with professionalism and urgency.

Scheduling & Front Desk Operations

Schedule, confirm, and manage appointments according to established protocols.
Maintain an efficient and accurate schedule while helping maximize provider availability.
Facilitate smooth communication and workflow between the front desk and clinical team.
Process transactions accurately and maintain responsibility for point-of-sale information.
Sell gift certificates, retail products, memberships, and other offerings.
Assist with walk-in retail sales and client needs when providers are unavailable.
Follow all company policies, procedures, and operational standards.

Sales, Marketing & Growth

Support the team in achieving service, retail, and membership goals.
Assist with planning and executing client events and promotional activities.
Participate in appropriate networking opportunities to develop new referral relationships.
Nurture and reinforce existing referral sources.
Research and help identify opportunities for new services, retail offerings, and revenue growth.

Team & Environment

Help maintain a beautiful, organized, and welcoming environment throughout the MedSpa.
Support daily back-of-house and concierge responsibilities as assigned.
Attend and actively participate in team and general staff meetings.
Contribute to a positive, collaborative team culture.
Support management in maintaining a high standard of integrity, professionalism, and accountability.
Be willing to jump in wherever needed to support the team and our clients.

Preferred Experience & Skills

Previous MedSpa, medical office, hospitality, luxury retail, or high-end customer service experience preferred
Experience with scheduling and point-of-sale systems is helpful
Strong computer and organizational skills
Excellent written and verbal communication skills
Ability to learn and confidently speak about aesthetic and wellness services
