Job Summary

We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will support our office operations, ensuring smooth daily functions and providing exceptional support to staff, clients, and visitors. Your energetic approach and attention to detail will help foster an efficient, welcoming environment. This paid position offers an exciting opportunity to develop your administrative skills while contributing to a thriving organization. You will handle a variety of clerical tasks, manage communication channels, and support office management activities with enthusiasm and professionalism.

Responsibilities

Manage multi-line phone systems, answer inquiries promptly, and direct calls with excellent phone etiquette.
Perform data entry tasks accurately using spreadsheets, Microsoft Office applications, and ServiceTitan.
Greet customers and visitors.
Enter customer payments and process daily mail.
Support calendar management by scheduling appointments, meetings, and reminders for staff and clients.
Assist with front desk duties including greeting visitors, managing client communication, and providing exceptional customer service.
Create and maintain accurate customer records.
Prepare correspondence, reports, and Word processing documents with attention to detail and proofreading accuracy.
Match packing slips with vendor invoices.
Scan and organize electronic documents.
Attach vendor invoices to the appropriate customer/job in ServiceTitan.
Perform filing and general office organization.
Assist with scheduling and administrative projects as needed.
Help maintain an organized and efficient office environment.
Support the Office Manager and other office staff with daily administrative tasks.
Perform other duties as assigned.
Coordinate office supplies procurement and oversee office management duties to ensure a productive work environment.

Strong attention to detail and organizational abilities.
Ability to multitask and prioritize work effectively.
Basic computer knowledge with the willingness to learn new software.
Professional appearance and positive attitude.
Dependable with excellent attendance.
Ability to work independently while also being a team player.
Previous office experience is preferred but not required.

Software Experience (Preferred)

Microsoft Office (Word, Excel, Outlook)
Data entry experience
ServiceTitan experience is a plus, but we are willing to train the right person.
