Full Job Description

We Are Looking For:

Someone who is passionate about being part of CARD's mission to help people play, and who takes pride in making sure the community has fair, easy access to our outdoor spaces. This person must be comfortable managing a high volume of requests via email and phone, allocating field usage accurately according to our existing policies. While this position will primarily work from the office, they should enjoy getting outside and being hands-on in the parks — checking in on field conditions and staying connected to the spaces they're scheduling.

About the Position:

The Outdoor Facilities Rentals Coordinator position is assigned to the Administration Division and is under the general direction of the Rental and Event Specialist. The Outdoor Facilities Rentals Coordinator performs a variety of duties relating to the scheduling and coordination of District outdoor athletic facilities — including athletic fields and courts — for league play, tournaments, practices, and drop-in use. This classification is responsible for implementing the reservation and permit program for District outdoor athletic facilities, serving as the primary point of contact for sports leagues, tournament organizers, and other outdoor facility user groups.

Work Location:

Main Job location is CARD District Offices on Vallombrosa, but could do other work at locations, facilities, or fields across the District.

Schedule:

Monday through Friday 1p-6p, with weekends as needed. Spring time schedule to adjust later to accommodate evening rental times.

Key Responsibilities:

Coordinates allocation and scheduling of fields and courts for sports leagues, tournaments, camps, clinics, practices, and drop in play with league coordinators and tournament organizers.
Monitor day-to-day operations of field, court, and league play including making site visits, inspecting facility conditions, and resolving issues in the moment.
Assist in administering rental contracts, certificates of insurance, and permit compliance for outdoor facility users.
Work collaboratively with park staff and user groups to ensure proper field prep and maintenance.
Track tasks being performed throughout the week to be shared with the Rentals Specialist to fill in any gaps in coverage or communication.

Pay: $26.00 - $26.50 per hour
