Overview

We are seeking a dynamic and organized Office Assistant to join our team and help ensure the smooth operation of our office environment. This vital role involves providing exceptional administrative support, managing front desk responsibilities, and assisting with various clerical tasks. The ideal candidate will be energetic, detail-oriented, and possess strong communication skills to foster a welcoming atmosphere for clients and team members alike. This paid position offers an exciting opportunity to develop your office management expertise while contributing to a vibrant professional setting.

Responsibilities

Greet visitors and clients warmly, managing front desk operations with professionalism and courtesy
Answer multi-line phone systems promptly, directing calls efficiently and providing excellent customer service
Manage appointment scheduling and calendar organization using productivity software and Google Workspace tools
Perform data entry tasks accurately, maintaining organized filing systems both digitally and physically
Support office management activities such as supply inventory, filing, and document proofreading
Assist with bookkeeping duties using QuickBooks or similar accounting software to track expenses and invoices
Provide administrative support for team members, including word processing, copying, scanning, and general clerical duties

Skills

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with Google Workspace applications
Strong computer literacy with experience in data entry, spreadsheets, and document management
Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
Effective phone communication skills with proper phone etiquette across multi-line phone systems
Bilingual abilities are a plus to enhance client communication and team collaboration
Previous office experience or administrative background is highly desirable
Knowledge of office management procedures, including filing systems and calendar management
Customer service orientation with a friendly demeanor and problem-solving attitude
Technical proficiency in productivity software, typing accuracy, proofreading skills, and general computer skills
