Full Job Description

The Billing Coordinator is responsible for the accurate and timely preparation, processing, and submission of client invoices for assigned attorneys and practice groups. This position ensures compliance with client billing guidelines, manages electronic billing submissions, resolves billing issues and rejections, and provides support to the Collections Department regarding invoicing and client communications. The ideal candidate is detail-oriented, highly organized, and experienced in legal billing and e-billing systems.

Essential Duties and Responsibilities

Perform conflict checks and assist with client and matter intake processes.
Open and maintain new client matters within the firm's accounting system.
Generate, review, and distribute monthly work-in-progress (WIP) reports and prebills.
Make narrative, billing, and rate adjustments to prebills as directed by attorneys.
Review and ensure compliance with client Outside Counsel Guidelines (OCGs).
Configure, maintain, and update client-specific billing rules and requirements.
Finalize invoices in the accounting system and submit bills through electronic billing platforms or by traditional methods.
Prepare, submit, and monitor litigation and matter budgets as required by client guidelines.
Research, resolve, and correct invoice rejections, reductions, and payment issues.
Manage invoice appeals and resubmissions as necessary.
Coordinate with attorneys, clients, and the Collections Department to address billing inquiries and outstanding issues.
Prepare billing reports and related documentation for management review.
Provide support to the Chief Financial Officer, Accounting Department, and other Billing Coordinators as needed.
Perform additional duties and special projects as assigned.

Required Knowledge, Skills, and Abilities

Demonstrated experience with legal billing and electronic billing (e-billing) platforms.
Strong understanding of legal billing procedures, client billing guidelines, and invoice submission processes.
Ability to maintain strict confidentiality and exercise discretion when handling sensitive information.
Exceptional attention to detail and accuracy with a strong commitment to meeting deadlines.
Excellent organizational and time-management skills, with the ability to manage multiple priorities in a fast-paced environment.
Strong analytical skills with the ability to compile, interpret, and report financial and billing data.
Ability to work independently while also collaborating effectively within a team environment.
Sound judgment and decision-making skills, including knowing when to escalate issues appropriately.
Strong written and verbal communication skills with a professional demeanor.
Positive attitude, customer-service mindset, and commitment to providing excellent internal and external client support.
Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook. Advanced Excel skills, including sorting, filtering, data analysis, and reporting, are preferred.

Education and Experience

Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred.
Prior billing experience within a law firm or professional services environment required.
Experience with electronic billing platforms such as Legal Tracker, CounselLink, TyMetrix, or similar systems preferred.
Knowledge and experience using Aderant or comparable legal accounting and billing software preferred.

Working Conditions

Primarily office-based environment with prolonged periods of sitting and computer use.
Occasional overtime may be required to meet month-end billing deadlines and client requirements.

Pay: $30.00 - $35.00 per hour
