Job Overview
We are seeking a dynamic and detail-oriented Finance and Administration Manager to lead our financial operations and administrative functions. This pivotal role involves overseeing financial planning, reporting, compliance, and risk management while ensuring efficient administrative processes. The ideal candidate will bring extensive accounting expertise, strategic insight, and leadership skills to support our company's growth and operational excellence.
Duties
Oversee financial processes to ensure expenses, invoices, payments, credit card activity, account coding, and supporting documentation are accurate, legitimate, and properly approved. Review AP and AR activity for accuracy, backup, coding, timeliness, and financial accountability. Verify the Vendor Invoice Log and support clean financial records. Oversee reconciliation work for bank accounts, credit cards, AP, AR, payroll records, and third-party financial platforms. Review financial information before it is used for reports, taxes, audits, loans, bonding, insurance, or credentialing. Identify and escalate missing backup, duplicate charges, improper expenses, incorrect coding, billing issues, or unusual transactions. Support cost control, financial discipline, and company profitability. Payroll, Tax, Retirement, and Compensation
- Serve as liaison with outside tax advisors, accountants, auditors, lenders, bonding companies, insurance providers, and other financial reporting parties.
- Compile and verify financial information for tax returns, audits, bank reporting, credentialing, insurance, bonding, and year-end reporting.
- Process payroll accurately and on schedule.
- Submit payroll taxes, deductions, retirement contributions, and related payments.
- Prepare quarterly payroll reports and other payroll-related reporting.
- Administer retirement account reporting, contributions, census information, and coordination with retirement plan providers.
- Review compensation-related financial information, including wages, deductions, employer contributions, reimbursements, bonuses, and other dollar-based employee costs.
- Handle unemployment and workers’ compensation matters as needed.
- Compute, pay, and submit monthly workers’ compensation reports.Boost, SAP Ariba, Avetta, and Third-Party Platforms
- Administer and monitor Boost, SAP Ariba, Avetta, and similar financial, procurement, invoicing, safety, credentialing, and compliance platforms.
- Oversee Boost-related payment activity for accuracy, backup, approval, and posting.
- Support SAP Ariba administration related to procurement, invoicing, supplier/customer requirements, documentation, and payment-related records.
- Support Avetta administration related to vendor credentialing, safety records, insurance compliance, prequalification, rosters, and required company documentation.
- Maintain records, user access, deadlines, submissions, and follow-up for these systems.
- Escalate discrepancies, missing documents, expiring credentials, compliance gaps, or unusual activity. Rental Property and Company Asset Administration
- Support the financial and administrative management of company-related rental properties and selected company assets.
- Maintain records for rental income, expenses, deposits, leases, vendor invoices, taxes, insurance, repairs, utilities, registrations, renewals, and related financial backup.
- Maintain business licenses, contractor licenses, registrations, renewals, registered agent records, annual reports, entity records, insurance compliance, and related filings.
- Prepare, submit, and track filings and renewals with South Carolina LLR and other applicable licensing agencies.
- Support contractor licensing, vendor credentialing, customer credentialing, prequalification packages, safety portals, and compliance platforms.
- Prepare and submit renewals for trade associations, women-owned business certifications, contractor associations, supplier diversity platforms, and related credentials.
- Send required monthly rosters and reports
- Maintain compliance calendars to ensure renewals, deadlines, and submissions are not missed.
- Provide administrative support as needed, including memos, hotel reservations, office coverage, and general support when other staff are out.
- Support organized records, smooth office operations, and consistent administrative follow-through.
Qualifications
- Experience with payroll, financial reporting, AP/AR oversight, retirement administration, compensation-related reporting, licensing, credentialing, compliance tracking, third-party platforms, and office administration.
- Experience with Boost, SAP Ariba, Avetta, or similar platforms preferred.
- Strong attention to detail, accuracy, organization, confidentiality, communication, and follow-through.
- Ability to question, verify, and escalate financial or compliance issues when needed.
- Ability to support company accountability, internal controls, and profitability.
