Job Summary
The Project Coordinator assists with the planning, coordination, implementation, and ongoing support of strategic projects and operational initiatives throughout the Court. The initial assignment for this position will be supporting the development and implementation of the Court's new community correctional facility, including coordination of project activities, operational planning, stakeholder engagement, implementation efforts, and facility readiness activities necessary to support a successful opening.
Working under the direction of the Project Manager, the Project Coordinator serves as a liaison between Court departments, community partners, vendors, contractors, treatment providers, government agencies, and other stakeholders to support project objectives and ensure successful outcomes. The successful candidate will possess strong technical aptitude, exceptional organizational skills, and the ability to effectively engage with diverse stakeholders, facilitate discussions, and build productive working relationships across a broad range of professional and community groups.
Essential Duties and Responsibilities

Coordinates project activities, timelines, deliverables, and follow-up tasks across Court Departments and external stakeholders to support successful project execution, implementation, and change management.
Assists with planning and implementation activities related to the Court's community correctional facility, including operational readiness, policy and procedure development, stakeholder coordination, training activities, and implementation planning.
Maintains project documentation, meeting notes, project schedules, status reports, action item logs, and related records to support project organization, communication, and accountability.
Utilizes project management, collaboration, reporting, and business productivity tools to organize project activities, track deliverables, analyze information, and communicate project status.
Develops reports, presentations, dashboards, meeting materials, and project documentation using a variety of software applications and data sources.
Coordinates meetings and serves as a point of contact between Court staff, vendors, treatment providers, contractors, government agencies, and community partners involved in project activities.
Facilitates meetings and working sessions involving diverse stakeholder groups, helping participants identify issues, evaluate alternatives, build consensus, resolve conflicts, and advance project objectives.
Assists with gathering and documenting business requirements, workflows, operational needs, and process improvement opportunities for technology, operational, and facility-related initiatives.
Coordinates testing, training, implementation, and rollout activities for system enhancements, new processes, operational procedures, and other project deliverables.
Monitors project risks, issues, dependencies, action items, and implementation progress and communicates updates to appropriate stakeholders.
Establishes and maintains productive working relationships with Court staff, community partners, service providers, government agencies, vendors, consultants, and other stakeholders.
Assists with evaluating workflows and operational processes to identify opportunities for improved efficiency, standardization, compliance, and service delivery.
Supports grant-funded initiatives by assisting with project tracking, documentation, reporting, and coordination activities as required.
Prepares project communications, presentations, reports, and status updates for leadership, committees, and stakeholders.
Performs other duties as directed.
Supervisory Responsibilities
Has no direct supervisory responsibility for staff members.

Standard office equipment and office technology such as copy machines, personal computers and telephones.
Confidential Data
All court-related information regarding hearings, etc. that the employee may come in contact with by working in the facility.
Working Conditions
Works in a general office setting with moderate noise levels.
Usual Physical Demands
While performing the duties of this job, the employee is required to sit, to speak clearly, and to hear. The employee must occasionally lift and/or move up to 10 pounds. Demonstrated technical aptitude and the ability to quickly learn and effectively utilize new software applications, business systems, project management platforms, and technology tools.
Proficiency with Microsoft Office applications, including the ability to create professional documents, presentations, spreadsheets, reports, and meeting materials.
Ability to learn and utilize project management and work management platforms such as Jira, Smartsheet, Microsoft Teams, Microsoft Sharepoint, or similar tools.
Working knowledge of project management principles, business process improvement methodologies, and change management practices.
Strong analytical and organizational skills, including the ability to gather information from multiple sources, identify key issues, evaluate alternatives, and communicate recommendations.
Demonstrated ability to facilitate productive discussions among individuals with differing perspectives, priorities, and interests while maintaining professionalism, neutrality, and a focus on project objectives.
Strong interpersonal and relationship-building skills, with the ability to work effectively with judges, court staff, government agencies, community organizations, service providers, vendors, consultants, and members of the public.
Ability to communicate complex information clearly and effectively, both verbally and in writing, to technical and non-technical audiences.
Demonstrated ability to work independently, exercise sound judgment, and manage multiple priorities in a fast-paced and evolving environment.
Education and/or Experience
Bachelor's degree in Business Administration, Public Administration, Criminal Justice, Social Work, Information Systems, Project Management, or a related field; or an equivalent combination of related experience and education, where 2 years of related experience = 1 year of college.
AND
Three (3) years of professional experience in one or more of the following areas: Juvenile justice, courts, corrections, behavioral health, residential treatment, child welfare, or a related public-sector environment; Project coordination, project management, program administration, operational planning, implementation, or process improvement initiatives; or facility development projects, technology implementations, or organizational change initiatives.
