Full Job Description

Position Summary

Sparkler Filters, Inc. is seeking a dependable and detail-oriented Office Administrator / Customer Account Coordinator to support our customers and assist with administrative functions across multiple departments.

This position includes customer communication, invoicing, accounts receivable support, order entry, payment processing, sales reporting, shipping documentation, and general office administration. The ideal candidate will be organized, accurate, professional, and comfortable managing multiple responsibilities in a manufacturing environment.

Job Responsibilities

Responsibilities include, but are not limited to:

Prepare daily invoices and process approved payment methods.
Process credit card payments and work within customer websites, portals, and electronic payment systems.
Assist customers with completing credit applications and establishing credit accounts.
Review purchase orders and resolve pricing, billing, shipping, or documentation discrepancies.
Track and assist in resolving issues involving orders, invoices, and payments.
Answer and direct incoming telephone calls.
Greet customers, vendors, and other visitors.
Communicate professionally with customers by telephone and email.
Follow up on customer correspondence, open items, and outstanding requests.
Research payment shortages and make collection calls as needed.
Maintain accurate customer account and contact information.
Enter orders for filter media, replacement parts, rentals, and other products as assigned.
Prepare customer quotations using established formats and pricing.
Generate daily, monthly, and other requested reports as needed.
Organize company records through filing, scanning, and electronic document storage.
Prepare operating manuals, correspondence, reports, and other administrative documents.
Assist the shipping department with domestic and export documentation when needed.
Coordinate with sales, accounting, estimating, shipping, and other departments to keep customer orders moving forward.
Protect confidential customer, financial, and company information.
Provide administrative support to other team members as needed.
Perform additional office duties as assigned.

Qualifications and Requirements

High school diploma or equivalent required.
Previous experience in office administration, customer service, accounts receivable, order entry, or a related position preferred.
High level of accuracy and attention to detail.
Strong written and verbal communication skills.
Ability to communicate professionally with customers, vendors, and coworkers.
Proficient in Microsoft Office, including Word, Excel, and Outlook.
Ability to learn customer portals, accounting software, CRM systems, and internal order-processing systems.
Ability to accurately revise, reproduce, and maintain documents using established company formats.
Excellent organizational, prioritization, and time-management skills.
Ability to work effectively both independently and as part of a team.
Must be punctual, dependable, and willing to assist where needed.
Manufacturing, industrial, shipping, export, or accounts receivable experience is a plus.
Must be able to work Monday through Friday from 8:00 a.m. to 5:00 p.m.
Employment may be contingent upon successful completion of a background check and drug screening.
