Job Overview

I am a growing painting company owner wearing too many hats. Looking to hire quality profficent admin assitants to handle employee paper, quickbooks invoicing/ jobber. Capable of scheduling, potentially hiring, job and hour tracking, business legality and registration/insurance/

We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will be the backbone of our daily operations, providing exceptional support across various administrative functions. Your energy, attention to detail, and proactive approach will help ensure our office runs smoothly and efficiently. This paid position offers an exciting opportunity to develop your skills in office management, customer service, and technical proficiency while contributing to a positive and productive work environment.

Responsibilities

Manage multi-line phone systems, answer inquiries promptly, and direct calls with professionalism and courtesy.
Perform data entry tasks accurately using spreadsheets and productivity software, maintaining organized records.
Handle front desk duties including greeting visitors, managing appointments, and maintaining a welcoming environment.
Coordinate calendar management for team members, scheduling meetings and ensuring timely follow-up.
Utilize QuickBooks for basic bookkeeping tasks such as invoicing, expense tracking, and financial record keeping.
Prepare correspondence, reports, and documents using Word processing software with attention to detail and proofreading accuracy.
Support office management activities including filing, inventory control, and supply ordering to keep the workspace efficient.
Provide excellent customer support by addressing client inquiries via phone or email with clear communication skills.
Assist with clerical tasks such as photocopying, scanning, and organizing digital files for easy access.
Maintain professionalism in all interactions through proper phone etiquette and courteous communication.

Skills

Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with productivity software.
Experience with multi-line phone systems and front desk operations in a busy office environment.
Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members.
Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced setting.
Demonstrated data entry accuracy along with proofreading skills to ensure error-free documents.
Knowledge of QuickBooks or similar accounting software for bookkeeping purposes.
Exceptional customer service skills combined with professional phone etiquette and client communication expertise.
Office management experience including filing systems, calendar coordination, and supply management.
Technical proficiency in computer applications relevant to administrative support roles.
Previous experience as an administrative assistant or medical receptionist is advantageous but not required; training will be provided for specific responsibilities such as bookkeeping or specialized software.
