Job Overview

We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will be the backbone of our daily operations, providing essential support to ensure smooth office functioning with the main focus being invoicing and making sure our install jobs are fully closed out. Your energetic approach and attention to detail will help foster a productive environment, enabling our team to excel. This paid position offers an exciting opportunity to develop your administrative skills while contributing to a vibrant workplace.

Responsibilities

Professionally communicate with client s
Perform data entry tasks accurately using productivity software such as Microsoft Office, spreadsheets, and word processing tools
Invoice for completed jobs
Assist with quoting
Maintain organized filing system wes, both digital and physical, ensuring easy retrieval of documents
Support office management activities, including scheduling appointments, coordinating meetings, and managing calendars
Provide exceptional customer service by responding promptly to client inquiries and supporting client communication efforts
Assist with bookkeeping tasks using QuickBooks or similar accounting software for invoicing and expense tracking
Handle clerical responsibilities such as proofreading documents, preparing reports, and managing correspondence

Requirements

Proven office experience with strong computer literacy and technical proficiency in Microsoft Office applications
Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
Strong typing skills along with meticulous proofreading abilities to ensure accuracy in all documents
Experience with multi-line phone systems, phone etiquette, and professional customer support or front desk roles
Bilingual abilities are highly desirable to facilitate communication with diverse clients and team members
Familiarity with QuickBooks or similar financial management tools is a plus
Demonstrated ability to handle confidential information discreetly while maintaining a positive attitude in a fast-paced environment
