Position: The Prior Authorization Specialist works under the general direction of the Practice Administrator and is a member of a dynamic team focused on coordinating all aspects of patient care. The role provides continuity of care by ensuring a smooth procedure and medication authorization process.
Job Summary
We are seeking a dedicated and detail-oriented Care Coordinator specializing in Prior Authorization to join our healthcare team. In this vital role, you will serve as a bridge between patients, healthcare providers, and insurance companies to facilitate timely approvals for medical services and procedures. Your expertise will ensure smooth communication, accurate documentation, and adherence to healthcare policies, ultimately enhancing patient care and operational efficiency. Duties
- Manage insurance prior authorization requests by verifying coverage details and submitting necessary documentation promptly.
- Collaborate with healthcare providers to gather medical records, clinical notes, and supporting documents required for authorization processes.
- Utilize CPT (Current Procedural Terminology), ICD-9, ICD-10, and ICD coding systems accurately to support claims and authorization submissions.
- Maintain compliance with HIPAA (Health Insurance Portability and Accountability Act) regulations to protect patient confidentiality and ensure data security.
- Track and document all authorization activities within Electronic Health Records (EHR) systems using Microsoft Office tools for reporting and record-keeping.
- Communicate effectively with insurance companies, providers, and patients to resolve authorization issues or delays proactively.
- Stay informed about current health insurance policies, managed care practices, and industry regulations to ensure accurate processing of requests.
Qualifications
- Proven experience in medical office administration, health insurance verification, or related roles within a healthcare setting.
- Strong knowledge of HIPAA regulations, medical terminology, medical records management, and clinical confidentiality policies.
- Proficiency in CPT coding, ICD coding (ICD-9/ICD-10), medical billing, and insurance prior authorization procedures.
- Familiarity with Electronic Health Records (EHR) systems and Microsoft Office applications for documentation and communication purposes.
- Excellent customer service skills with the ability to communicate clearly and professionally with diverse stakeholders.
- Understanding of health insurance policies, managed care systems, and the nuances of insurance verification processes.
- Ability to handle sensitive information discreetly while maintaining accuracy under tight deadlines.

Work Environment
This position works in a fast-paced outpatient specialty medical practice requiring frequent interaction with patients, providers, insurance companies, and outside healthcare organizations. The ability to multitask while maintaining professionalism and exceptional customer service is essential.

Location:
This role is located in our Dublin office
- some flex time available, after 90 days and with prior approval
- some hybrid remote is available, after 90 days and with prior approval
Hours: Roughly 32-40 hours a week
Clinic Hours:
Monday - Thurday 8am-4p
Friday 8am-12pm
