Job Title: Property Management Coordinator - Residential Team

Reports To: Sr. Property Manager

Position Summary

NAI Ohio Equities is seeking a highly organized and customer-focused Property Management Coordinator to support our Residential Association Management Team. This position plays a vital role in ensuring excellent service to condominium and homeowners association residents while assisting Association Managers with administrative operations, communication, and day-to-day coordination.

The ideal candidate thrives in a fast-paced environment, demonstrates exceptional attention to detail, and enjoys building positive relationships with residents, board members, vendors, and team members.

Essential Responsibilities

Serve as a primary point of contact for residents and homeowners, responding to inquiries professionally and promptly.
Assist Association Managers with resident communications, notices, and correspondence.
Coordinate and track work orders, maintenance requests, and vendor follow-up.
Update Condo Certs with association financials, insurance, delinquency reports, etc.
Maintain accurate owner and resident information within management software systems.
Assist with administrative tasks for assigned communities.
Coordinate mailings, community announcements, and resident portal communications.
Monitor deadlines and follow up on outstanding action items to ensure timely completion.
Maintain organized electronic and physical files for assigned associations.
Provide support during annual meetings, elections, and special meetings as needed.
Work collaboratively with accounting, maintenance, and management teams to deliver exceptional service.
Coordinate property management meetings, Lunch & Learns, and special events.
Assist with onboarding of new associations.

Qualifications

High school diploma or equivalent required; associate's or bachelor's degree preferred.
Two or more years of administrative, customer service, or association management experience preferred.
Strong written and verbal communication skills.
Excellent organizational skills with the ability to prioritize multiple tasks and deadlines.
Proficiency in Microsoft Office, including Outlook, Word, and Excel.
Experience with property management software such as Yardi, CondoCafe, or similar platforms is preferred.
Ability to maintain confidentiality and exercise sound judgment.
Positive attitude and commitment to outstanding customer service.

Schedule & Work Environment

Monday through Friday, 8:30 AM – 5:00 PM
This position is primarily in-office and based at our Columbus, Ohio headquarters
Occasional attendance at evening board meetings, annual meetings, and special events may be required
