Duties
- Provides administrative assistance to accounting staff and leadership, including scheduling meetings, managing calendars, preparing documents, and organizing files.
- Answers and directs phone calls, promptly responding to emails and phone calls with professionalism and friendliness.
- Organizes events, travel arrangements, and special projects as needed.
- Produces, delivers, and maintains correspondence, managing electronic filing systems, and handling administrative duties such as filing, copying, scanning, mailing, binding, and coordinating overnight delivery.
- Maintains a clean, stocked, and welcoming environment in shared spaces.
- Ensures conference rooms are properly set up with necessary materials before meetings and restored to their original state afterward.
- Provides general support and hospitality to visitors.
- Orders & organizes supplies for the office, ensuring all areas are well-stocked and organized, including areas such as lobby, copy room, supply room, snack, drink, and coffee areas.
- Handles sensitive information with professionalism and confidentiality
- Demonstrates reliability and organizational skills, ensuring timely completion of tasks.
- Communications daily overview via email for the team.
- Works independently with minimal supervision while collaborating effectively within a team setting.
- Maintains a positive attitude and a willingness to assist others in achieving their goals.
- Assists with compliance documentation and internal audits, ensuring all firm policies are adhered to.
- Aids in the preparation of tax filings, ensuring all necessary documents are obtained and organized.
- Assists with filing and tracking tax returns.
- Maintains and organizes accounting files, documents, and client records.
- Ensures proper filing of tax returns, financial statements, and other related documents.
- Maintains tidy common areas and maintains restocks for clients and employees including coffee areas, entry, supplies, mailing areas, etc.
- Performs other duties as assigned
Experience
- High school diploma or equivalent; Associate degree preferred.
- 2+ years of administrative experience, preferably in a public accounting or professional services environment.
- Proficient in Microsoft Office Suite.
- Experience with software such as Adobe, Outlook, Excel, GoFileRoom, Practice, Thompson Routers, and other relevant tax software.

- Proficient problem-solving and multi-tasking abilities.
- Savvy with technology with the ability to learn in-house programs and tools.
- Attention to detail and organization, with a high level of accuracy.
- Initiative and ability to multi-task and work across the team to provide excellent service to clients.
- Dependable, willing to put in extra effort, motivated to tackle problems, comfortable with periodic pressure and able to assist a wide range of client personalities and temperaments.
Physical Requirements
- Ability to sit for extended periods
- Manual dexterity for using keyboard, mouse, and office equipment
- Strong communication skills
- Mobility of body, rotation of neck
- Ability to be onsite daily required
- Ability to lift light objects (20 pounds)
- Precise hand-eye coordination for data entry and account reconciliation
- Onsite presence during business hours. Remote work not permitted.
- OT & Saturdays required during tax season, as determined by management.
Pay: $15.00 - $25.00 per hour
