At Summit Springs Wellness Center, our Intake & Case Management Specialists are often the first voice a person in crisis hears — and the first hand that guides them toward care. This is a high-impact, fast-paced role that blends administrative precision with real human connection. You’ll manage the admissions process from first call to admission, verify insurance, coordinate community resources, and help clients navigate the barriers that stand between them and treatment.

What You’ll Do
- Serve as the first point of contact for prospective clients, families, and referral sources — by phone and in person — conducting initial screenings and guiding individuals through the admissions process with warmth and professionalism.
- Verify Medicaid, Medicare, and Managed Care insurance eligibility prior to admission and assist clients with self-pay agreements and benefits navigation.
- Connect clients with community resources, including transportation, housing, food assistance, Medicaid enrollment, and recovery support services, to reduce barriers to treatment entry.
- Coordinate warm handoffs and referrals to internal clinical staff, external providers, recovery housing, and social service agencies.
- Maintain accurate intake records, referral tracking logs, census updates, and admission documentation in our electronic health record (EHR) system.
- Prepare reports on admissions activity, referral source trends, show/no-show rates, and insurance authorization status for operations leadership.
- Support front-office operations, including scheduling, reception coverage, scanning and filing, and communication with referral partners.
- Escalate client safety concerns or psychosocial barriers to licensed clinical staff promptly and document all actions taken.
- Follow up with clients and referral sources when scheduled admissions do not occur, and make referral calls on behalf of clients who are unable to do so independently.
What We’re Looking For
Required:
- Excellent verbal and written communication skills; you’re clear, calm, and professional even in high-pressure moments.
- Demonstrated ability to manage multiple tasks simultaneously in a busy, deadline-driven environment.
- Proficiency in Microsoft Office Suite — particularly Excel (sorting, filtering, data tracking, basic reporting), Outlook, Word, and Teams.
- Strong attention to detail in documentation, data entry, and reporting.
- Ability to work collaboratively as part of a multidisciplinary team and maintain appropriate boundaries with clients.
- Commitment to treating every individual with dignity, empathy, and a trauma-informed approach.
Preferred:
- 2+ years of experience in behavioral health, addiction treatment, healthcare intake, case management, medical office, or social services.
- Experience working with substance use disorder (SUD) and/or co-occurring mental health populations.
- Experience with Medicaid verification, insurance authorization, or benefits navigation.
- Experience using an electronic health record (EHR) system (NextGen or similar).
- Intermediate Excel skills, including spreadsheet creation, formulas, and operational reporting.
- CDCA (Chemical Dependency Counselor Assistant) certification — or willingness to obtain within an agreed-upon timeframe.
- Associate’s or Bachelor’s Degree in Human Services, Healthcare Administration, Business, Social Work, or a related field.
