About the Role
We’re seeking a highly organized, customer-focused Customer Success & Operations Coordinator to serve as the primary point of coordination between customers, field professionals, subcontractors, vendors, and executive leadership.
This position focuses on delivering an outstanding customer experience while coordinating daily operations, supporting executive priorities, improving workflow efficiency, and helping grow recurring business. You’ll collaborate across departments using established systems and processes while playing a key role in the company’s continued growth.
This position offers a defined career path into Operations Management, Customer Success Leadership, or Business Development.
Primary Areas of Responsibility
Customer Success & Client Experience (Primary Focus)
- Deliver exceptional customer service by phone, text, email, and online chat.
- Respond promptly to new customer inquiries and service requests.
- Schedule appointments and coordinate service visits.
- Follow up on estimates and unscheduled work.
- Present maintenance memberships, financing options, warranties, and promotions.
- Request honest Google reviews following completed services.
- Resolve customer concerns with professionalism and empathy.
- Build long-term customer relationships that encourage repeat business and referrals.
Operations & Dispatch
- Coordinate technician and subcontractor schedules.
- Dispatch daily service calls using Housecall Pro.
- Monitor appointment progress and communicate customer updates.
- Optimize schedules and technician utilization.
- Coordinate emergency and priority service requests.
- Verify completed job documentation.
- Ensure invoices are finalized and payments are collected.
- Close completed jobs accurately and efficiently.
Administrative & Executive Support
- Maintain CRM records and customer information.
- Coordinate executive calendars and meetings.
- Prepare operational reports and KPI dashboards.
- Organize digital files and documentation.
- Support bookkeeping, invoicing, payment tracking, and commission reporting.
- Assist with vendor coordination and operational projects.
- Maintain SOPs, templates, and internal documentation.
Business Development & Marketing Support
After 60 days, you’ll spend two business days per month developing strategic relationships with property management companies, commercial clients, Realtors, apartment communities, and referral partners.
You’ll also assist with customer retention initiatives, online reputation management, social media coordination, and marketing campaigns that support company growth.
Qualifications
Required
- Bachelor’s Degree from an accredited college or university.
- Three or more years of experience in customer success, operations, dispatch, scheduling, office administration, or project coordination.
- Experience working with CRM platforms.
- Excellent written and verbal communication skills.
- Strong organizational and problem-solving abilities.
- Professional phone etiquette.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency with Microsoft Office and Google Workspace.
Preferred
- Housecall Pro experience.
- QuickBooks or bookkeeping experience.
- Executive Assistant or Operations Coordinator experience.
- Experience in plumbing, HVAC, electrical, roofing, restoration, remodeling, construction, or property management.
- Sales, customer retention, or business development experience.
Monthly Performance Incentives
- Commission on maintenance memberships sold.
- $5 bonus for every verified Google review generated through your customer follow-up efforts.
- Bonus for each new property management company that becomes an active customer.
- Commission opportunities for qualified business development efforts.
- Monthly performance bonuses based on operational excellence, customer satisfaction, membership growth, booking conversion, and KPI achievement.
All commissions and bonuses are calculated monthly and paid on the first regularly scheduled payroll following month-end.

Six-Month Introductory Employment Period
This position begins with a six-month introductory employment period focused on onboarding, training, coaching, and performance development. Team members receive ongoing feedback and support while learning company systems, customer experience standards, operational procedures, and leadership expectations.
Successful completion of the introductory period may lead to expanded responsibilities, increased incentive opportunities, and advancement based on performance and business needs.
Employment with Transit & Flow Group is at will and may be terminated by either the employee or the Company at any time, with or without notice or cause, as permitted by applicable law.
