Full Job Description

Reports to: Executive Director
Job Category: Full Time – average 40 hours/week – some nights & weekends
BalletMet Vision: To create and foster world-class art and artists that inspire Columbus and beyond.
Mission: To entertain, engage and educate through dance.

Job Roles and Responsibilities:

Manage Executive Director’s calendar by keeping calendar up-to-date and solving scheduling conflicts when they arise
Communicate with and schedule meetings/events for dancers, staff, board members, and outside individual/organizations as requested by Executive Director
Keep track and order building stationery, business cards and name tags as necessary
Support the Board of Trustees by attending Board meetings, select committee meetings, maintaining documents, and drafting meeting minutes, and facilitating any inquiries as a main point of contact
Create and maintain rosters of staff and Board of Trustees
Manage ticket donation tracking and issue ticket certificates to local organizations
Plan, coordinate and manage internal & external events (including but not limited to staff events, in theatre receptions; and in collaboration with the Development Department, The Nutcracker Ball & monthly Development events)
Event coordination including execution of set-up, tear-down, monitoring revenue and expense budgets, securing in-kind sponsorships with vendors, managing RSVPs, tickets and event payments, managing event vendors and working with Marketing Department to market events and creating promotional materials
Contribute to overall success of BalletMet by maintaining collaborative, productive and professional relationships with staff, dancers, guest artists, patrons, and local and national arts organizations
Other duties as assigned

Qualities and Attributes:

Excellent verbal and written communication skills
Experience with Microsoft software (Outlook, Excel, Word, Powerpoint)
Strong organizational skills, time management skills and attention to detail
Ability to maintain confidentiality
Ability to work independently and manage multiple, time-sensitive projects at once in a fast-paced environment
Event planning and coordination experience
Ability to lift and carry up to 50 lbs.
Database management experience; “Tessitura” experience a plus
