Job Summary

We are seeking a dynamic and personable Reception & Intake Specialist to serve as the welcoming face of our organization. In this vital role, you will manage front desk operations, handle client intake processes, and provide exceptional customer service to visitors and callers alike. Your energetic approach and organizational skills will ensure smooth daily operations, foster positive client interactions, and support administrative functions across the office. This paid position offers an exciting opportunity to be the first point of contact, creating a positive impression and ensuring efficient communication within our team.

Responsibilities

Greet visitors warmly, answer multi-line phone systems with professionalism, and direct calls appropriately using excellent phone etiquette
Manage front desk duties including checking in clients, scheduling appointments, and maintaining logs
Handle all incoming correspondence via phone, email, or in person with clarity and efficiency
Support office management tasks such as calendar management, appointment scheduling, and faxing
Assist with clerical duties including data entry, word processing, filing, and maintaining organized records
Coordinate communication between clients and clinical staff regarding scheduling changes, appointment reminders, and service updates.
Support billing and administrative teams by verifying client information, documenting attendance, and ensuring accurate data entry.
Assist with filing, scanning, faxing, and other clerical tasks essential to smooth facility operations.
Participate in staff meetings, required trainings, and quality‑improvement activities.
Provide customer support by addressing inquiries promptly and accurately while ensuring a positive experience for clients, staff, and visitors
Maintain a professional appearance of the reception area and ensure all office supplies are stocked and organized

Customer Service & Professional Conduct

Demonstrate cultural humility, empathy, and professionalism when interacting with individuals experiencing behavioral health or substance use challenges.
Respond to client concerns or escalations with calm, supportive communication and promptly notify supervisory staff when needed.
Uphold agency values, ethical standards, and trauma‑informed care principles in all interactions.

Experience

Previous office administrative experience in a fast-paced environment
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general computer skills
Experience answering multi-line phone systems and managing phone reception with professionalism
Demonstrated organizational skills with the ability to multitask effectively while managing time efficiently
Bilingual capabilities are highly desirable to assist diverse client needs
Proven customer service skills with a focus on clear communication and client satisfaction
Personal assistant or front desk experience that includes calendar management, typing, proofreading, and clerical support.
