Full Job Description

POSITION DESCRIPTION:

Under the direct supervision of the Executive Director, The Adult Education Coordinator supports the statewide coordination and administration of Ohio’s Adult Peer Recovery Supporter (PRS) Trainings. This role ensures that all training sessions, attendance processes, facilitator communications, and participant support activities operate smoothly, efficiently, and in alignment with Department of Behavioral Health (DBH) requirements.

The Adult Education Coordinator plays a key role in scheduling trainings, managing web-based registration systems, maintaining attendance and documentation, issuing certificates, communicating with facilitators and participants, and ensuring consistent, high-quality customer service across all statewide Adult PRS training offerings.

This position also provides support for grant funded programs and assists with planning of the Ohio Peer Recovery Summit, conferences, retreats, events, symposiums, and other peer education programs.

POSITION RESPONSIBILITIES (DUTIES INCLUDE, BUT ARE NOT LIMITED TO, THE FOLOWING):

- Schedule Adult Peer Recovery Supporter Trainings according to the DBH-approved annual training calendar.

- Create and maintain Attendance Rosters for each training session, recording all required details (dates, times, facilitators, Zoom links, etc.).

- Upload and update all training dates and details in required web-based systems.

- Monitor registration levels and communicate with

facilitators regarding capacity, required adjustments, or scheduling needs.

- Serve as a consistent point of contact for DBH-approved Adult PRS training facilitators.

- Share session details, materials, attendance rosters, and requirements with assigned facilitators in advance of every training.

- Provide administrative support to ensure training fidelity and consistency across the state.

- Respond to participant inquiries related to registration, scheduling, attendance requirements, and training expectations.

- Troubleshoot technical barriers such as Zoom access, registration issues, or communication gaps.

- Provide timely reminders and follow-up communication to ensure participant preparedness and engagement.

- Track attendance daily for each assigned training session using web-based tools.

- Ensure all required participant data fields are collected accurately and consistently.

- Submit completed attendance records to Direct Report for quality review.

- Assist with issuing certificates to eligible participants within required timelines.

- Maintain a waiting list for each training and systematically select and notify eligible participants when training slot becomes available.

- Maintain accurate and secure participant records in accordance with OhioPRO policies and DBH requirements.

- Utilize OhioPRO’s registration software, and internal tracking systems to maintain up-to-date training information.

- Ensure compliance with all confidentiality and data protection protocols.

- Follow standardized workflows for all training coordination activities.

- Support fidelity to DBH training expectations, timelines, and communication standards.

- Identify common participant or facilitator challenges and report trends to the Program Manager for ongoing improvement.

- Assists with planning of the Ohio Peer Recovery Summit, conferences, retreats, events, symposiums, and other peer education programs.

- Other duties as assigned

REQUIRED QUALIFICATIONS:

· Ideal candidates will be a person with a direct and personal lived experience and in sustained personal recovery from a mental health disorder, substance use disorder, and/or co-occurring disorder.

· Candidates will be an Ohio Adult Certified Peer Recovery Supporter or eligible to become so certified within six months of employment.

· Embrace the mission, vision, and values of Ohio Peer Recovery Organizations.

· Excellent communications skills (both oral and written communication) and adaptable communications style.

· Independently motivated, goal driven, and results-oriented.

· Be empathetic to the peer community, and to the needs of both peers and peer run organizations.

· Must have reliable transportation and be licensed to drive in state of Ohio. Position is remote with some office days required. As such, candidate mut live within commutable distance from Columbus, Ohio and OhioPRO's office.

· Ability to learn use of secure systems.

· Analytical and problem-solving skills services.

· Proficient with software programs/applications including Microsoft Office suite (including Excel, PowerPoint, and Teams) Canva, WordPress, Keynote, Zoom, Constant Contact (or like programs), LastPass (or like programs), Survey Monkey, etc.

· Experience in training coordination, adult education support, customer service, or related administrative work.

· Strong organizational and multitasking skills with the ability to manage multiple concurrent training cycles.

· Proficiency in web-based registration tools, virtual learning platforms (especially Zoom), and Microsoft Office/Google Workspace.

· Ability to troubleshoot technical issues for participants and facilitators.

· Skilled at, and committed to, high-quality service, accuracy, and timely task completion.

· Numerically literate, comfortable working with numbers, capable of understanding and interpreting data metrics and processing figures with spreadsheets.

· Bachelor’s Degree or Associate’s Degree plus two years of related work experience or 4 years of related work experience.

· Demonstrate professional conduct at all times.

· Reliable and predictable attendance is required.

· Perform other duties as assigned.

Pay: $45,760.00 - $54,080.00 per year
