Quiet Waters Clinics is a growing Behavioral Health and Addiction Treatment Center dedicated to providing compassionate, evidence-based care to individuals recovering from substance use and mental health disorders. Our mission is Impacting the Present, Transforming Futures through quality clinical services, Medication-Assisted Treatment (MAT), Intensive Outpatient Programs (IOP), counseling, and case management.
We are currently seeking a motivated, compassionate, and organized Case Manager / Front Desk Coordinator to join our team.
Position Summary
This full-time position combines Front Desk, Behavioral Health Case Management, and Patient Care Support responsibilities. The successful candidate will work directly with patients receiving substance use disorder and mental health treatment while providing excellent customer service and administrative support.
Essential ResponsibilitiesFront Desk Responsibilities
- Welcome and check in patients.
- Answer and direct incoming phone calls.
- Schedule patient appointments.
- Verify insurance eligibility and benefits.
- Collect patient intake paperwork.
- Maintain accurate Electronic Health Records (EHR).
- Maintain patient confidentiality in accordance with HIPAA.
- Provide outstanding customer service to patients and visitors.
Case Management Responsibilities
- Coordinate patient care and community resources.
- Assist patients with housing, employment, transportation, and recovery support services.
- Coordinate referrals to outside agencies.
- Monitor patient progress toward treatment goals.
- Complete accurate and timely clinical documentation.
- Participate in multidisciplinary treatment team meetings.
- Collaborate with counselors, medical providers, peer support specialists, and community partners.
- Support patients throughout every stage of their recovery.
Clinical Support Responsibilities
- Collect urine specimens for routine urine drug screening (UDS) in accordance with clinic policies.
- Properly document and label urine specimens.
- Maintain chain of custody procedures when required.
- Assist providers with patient flow and other clinical support duties as assigned.
Minimum Qualifications (Required)
Applicants must meet ALL of the following qualifications:
✅ Active Ohio CDCA (Chemical Dependency Counselor Assistant) credential
✅ Active National Provider Identifier (NPI)
✅ Active Ohio Medicaid Provider Number
✅ Eligible to provide billable behavioral health services in the State of Ohio
✅ Valid Ohio Driver's License with a good driving record
✅ Reliable transportation
✅ Excellent communication and interpersonal skills
✅ Strong organizational and time-management skills
✅ Ability to multitask in a fast-paced clinical environment
✅ Professional, dependable, compassionate, and team-oriented
Preferred Qualifications
- Experience working in behavioral health, addiction treatment, or community mental health.
- Experience with Electronic Health Records (EHR).
- Knowledge of Ohio Medicaid documentation and compliance requirements.
- Experience collecting urine specimens for drug screening is preferred.
