Sample Room Coordinator

Location: Reynoldsburg, OH (100% Onsite)
Employment Type: Contract

Retail Corporate Headquarters seeking a highly organized and detail-oriented Sample Room Coordinator to support the day-to-day operations of the Omni Photo Studio during the busy holiday production season. This is an operational role focused on managing product samples, maintaining inventory accuracy, and ensuring products are available for ecommerce photography and creative production.

The ideal candidate thrives in a fast-paced environment, enjoys staying organized, and is comfortable juggling multiple priorities while supporting cross-functional creative and marketing teams. This is not a creative position—it is an operations-focused role that plays a critical part in keeping photo production running efficiently.

Key Responsibilities

Receive, inspect, check in, and organize final production samples for ecommerce photography.
Maintain an accurate and organized sample library, ensuring inventory is tracked, accessible, and audit-ready.
Identify missing product, coordinate replacements, and dispose of aged samples in accordance with company policies.
Pull, prepare, organize, and return product samples for studio and location photo shoots.
Order and retrieve product from distribution centers as needed.
Maintain product photo queues and update tracking documents to ensure sample availability and visibility.
Generate and maintain reports related to sample deliveries, inventory, and production timelines.
Support the management of comp products, props, and photography materials.
Pack, ship, track, receive, and organize products and materials for both in-studio and off-site photo shoots.
Ensure all products and materials arrive on time and in excellent condition.
Maintain sample timelines and communicate key milestones with cross-functional partners.
Collaborate closely with Omni Creative Services, Marketing Operations, Creative teams, and external vendors.
Serve as a reliable point of contact for internal and external partners while representing the brand professionally.
Assist with ongoing sample room organization, inventory maintenance, and operational support as business needs evolve.

Required Qualifications

1–3 years of experience in a fast-paced corporate or retail environment.
Experience managing product samples, inventory, or similar operational processes.
Exceptional organizational skills with meticulous attention to detail.
Strong written and verbal communication skills.
Excellent time management skills and ability to manage multiple priorities simultaneously.
Comfortable working in a deadline-driven environment with changing priorities.
Proficient with Microsoft Office, particularly Excel.
Self-motivated with the ability to work independently while collaborating effectively with a team.

Preferred Qualifications

Experience supporting ecommerce photography, photo studios, or creative production environments.
Retail industry experience.
Bachelor's degree in Marketing, Communications, Business, or a related field preferred.
