Full Job Description

RenaissanceTech is seeking a detail-oriented and organized Administrative Assistant to support our accounting and administrative operations. This position is primarily responsible for managing customer invoicing and collections through FreshBooks while providing general administrative support to ensure efficient day-to-day business operations. The ideal candidate is proactive, customer-service oriented, and comfortable communicating with clients regarding billing matters.

Key ResponsibilitiesInvoicing & Accounts Receivable

Create, review, and send accurate customer invoices using FreshBooks.
Monitor accounts receivable and track outstanding balances.
Follow up with customers regarding overdue invoices through phone and email.
Process customer payments and apply payments accurately.
Maintain accurate customer billing records.
Resolve billing discrepancies in a professional and timely manner.
Generate accounts receivable aging reports and communicate collection status to management.

Administrative Support

Answer and direct incoming phone calls.
Respond to customer inquiries professionally and promptly.
Assist with scheduling meetings and coordinating calendars.
Prepare correspondence, reports, and other administrative documents.
Order and maintain office supplies.
Support various departments with administrative tasks as needed.

Qualifications

High school diploma required; Associate's degree preferred.
2+ years of administrative, bookkeeping, or accounts receivable experience.
Experience using FreshBooks is preferred but not required.
Strong computer skills, including Microsoft Office (Word, Excel, Outlook).
Excellent written and verbal communication skills.
Strong organizational skills with exceptional attention to detail.
Ability to prioritize multiple tasks and meet deadlines.
Professional, courteous, and confident when communicating with customers.

Preferred Skills

Experience with invoicing, collections, or bookkeeping.
Basic understanding of accounting principles.
Ability to maintain confidentiality and handle sensitive financial information.
Self-motivated with the ability to work independently while contributing to a team environment.

Software Used: FreshBooks, Microsoft Office Suite, Outlook

Pay: $24.37 - $29.35 per hour
