Overview

We are seeking a dynamic and highly organized Office Administrator specializing in HVAC (Heating, Ventilation, and Air Conditioning) to join our team. This vital role ensures the smooth operation of our office environment, manages administrative tasks with precision, and supports our HVAC projects through effective coordination and communication. The ideal candidate will thrive in a fast-paced setting, demonstrate exceptional organizational skills, and possess a passion for delivering outstanding customer service. This position offers an exciting opportunity to contribute to a growing company dedicated to excellence in the HVAC industry.

Duties

Manage daily office operations, including scheduling appointments, maintaining calendars, and coordinating meetings for the HVAC team
Oversee vendor management by liaising with suppliers, scheduling service visits, and ensuring timely delivery of equipment and supplies
Handle bookkeeping and accounting tasks using QuickBooks or similar financial software, including invoicing, expense tracking, and payroll processing
Support human resources functions such as onboarding new employees, maintaining confidential personnel records, and assisting with training & development initiatives
Coordinate event planning for company meetings, training sessions, and community outreach activities
Maintain organized filing systems for project documentation, client records, and confidential information
Manage multi-line phone systems and front desk responsibilities with professionalism and excellent phone etiquette

Experience

Proven administrative experience in an office setting, preferably within the HVAC or related technical industry
Supervising experience with team management capabilities to oversee administrative staff or project coordinators
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with advanced spreadsheet skills for budgeting and financial reporting
Strong knowledge of office management software including accounting software such as QuickBooks and other financial tools
Have experience working with ServiceTitan
Experience handling vendor relationships, scheduling management, and client communication with clarity and professionalism
Background in bookkeeping, payroll administration, and basic accounting practices aligned with office operations
Excellent organizational skills combined with effective communication abilities to support team collaboration and customer service excellence
