Powell Veterinary Clinic is a veterinarian-owned small-animal practice serving Powell and the surrounding Central Ohio community since 1982. Our team provides comprehensive preventive, medical, surgical, and dental care with a strong emphasis on high-quality medicine, client education, and compassionate patient handling.
We are a collaborative, team-oriented 4 doctor practice with a growing medical and support staff. Our hospital offers in-house laboratory and diagnostic capabilities, digital radiology, dentistry, surgery, and low-stress handling practices, allowing our team to provide a broad range of care within our own facility.

The Practice Manager will play a key role in supporting these goals by leading the business and operational side of the practice while partnering closely with the practice owner and medical team.
Job Overview
Powell Veterinary Clinic is seeking an experienced, organized, and proactive Practice Manager to oversee the day-to-day business and operational functions of our established small-animal veterinary practice.
This is a hands-on leadership position for someone who enjoys building systems, developing people, improving workflows, monitoring practice performance, and creating an environment where the medical team can focus on excellent patient care.
The ideal candidate is equally comfortable reviewing a P&L, troubleshooting a workflow problem, coaching an employee, coordinating with vendors, analyzing practice metrics, and making sure the front desk and treatment areas have what they need to function smoothly.
Key Responsibilities
Practice Operations
- Oversee daily administrative and operational functions of the veterinary practice
- Develop, maintain, and improve practice policies, procedures, and SOPs
- Identify operational inefficiencies and implement practical solutions
- Coordinate communication between doctors, veterinary technicians, assistants, and client service representatives
- Monitor workflow, staffing needs, and overall practice efficiency
- Maintain systems that support consistent, high-quality patient and client care
- Coordinate facility, equipment, and maintenance needs
- Support the practice owner and medical leadership with operational planning and implementation
Financial & Business Management
- Review and monitor practice financial performance and monthly P&L statements
- Track key performance indicators and develop meaningful practice reports
- Assist with budgeting, forecasting, and financial planning
- Monitor expenses, COGS, inventory costs, and vendor pricing
- Oversee accounts payable and other routine administrative financial processes
- Review and implement pricing and profitability improvements
- Monitor payroll-related processes and coordinate with payroll providers
- Manage employee retirement contribution processes and related administrative requirements
- Identify opportunities to improve revenue, efficiency, and profitability while maintaining appropriate standards of patient care
Human Resources & Team Development
- Coordinate hiring, onboarding, training, and employee offboarding
- Maintain employee records and personnel documentation
- Coordinate employee performance reviews and development
- Support coaching efforts and address performance concerns
- Maintain policies and the practice handbook
- Coordinate benefits administration, payroll processes, and employee communications
- Develop training materials and standardized onboarding procedures
- Promote a positive, professional, collaborative workplace culture
- Help establish clear responsibilities and accountability throughout the team
Inventory & Vendor Management
- Oversee inventory systems and purchasing processes
- Monitor costs, develop relationships with pharmaceutical, laboratory, equipment, and other practice vendors
- Evaluate vendor pricing, rebates, promotions, and purchasing opportunities
- Coordinate vendor negotiations and account management
- Establish efficient ordering and receiving procedures
- Support team members in developing ownership of inventory and supply management
Practice Systems & Technology
- Serve as an administrative resource for practice management systems and software
- Maintain and improve workflows within ezyVet and other practice systems
- Coordinate administrative systems including payroll, client communication, scheduling, reporting, and inventory platforms
- Maintain appropriate user access and account permissions
- Develop documentation and training resources for practice systems Identify opportunities to improve technology utilization and automation
Compliance & Risk Management
- Maintain practice compliance with applicable federal, state, and local requirements
- Coordinate required licenses, inspections, training, and documentation
- Maintain OSHA and workplace safety procedures
- Support controlled-substance and other required recordkeeping processes
- Coordinate insurance, workers' compensation, and related administrative matters
- Maintain appropriate emergency preparedness and business continuity procedures
- Work with practice leadership to identify and address operational risks
Client Experience & Communication
- Monitor and improve the overall client experience
- Establish and maintain client service standards
- Assist with complex client concerns and escalations
- Develop client communication resources and educational materials
- Coordinate practice promotions, rebates, and client-facing campaigns
- Monitor online reviews and practice reputation
- Support consistent communication standards across the client service team
Marketing & Community Outreach
- Coordinate the practice's marketing strategy and calendar
- Oversee social media and website content in collaboration
- Develop educational and promotional materials
- Coordinate seasonal campaigns, community outreach, and practice events in collaboration with designated team members
- Monitor marketing performance and return on investment
- Maintain consistent branding and messaging across client-facing materials
Quality Improvement & Reporting
- Establish and monitor practice KPIs
- Conduct monthly medical record, invoice, ans operational audits
- Identify trends and areas for improvement
- Develop action plans based on practice data
- Track progress on operational initiatives
- Regularly evaluate workflows, policies, and procedures for effectiveness
- Communicate meaningful findings and recommendations to practice ownership

Qualifications
Required:
- Proficiency with ezyVet
- Previous veterinary practice management or veterinary hospital leadership experience
- Experience supervising and developing a veterinary team
- Experience with HR administration
- Experience with inventory management
- Strong written and verbal communication skills
- Demonstrated ability to develop and implement SOPs and operational systems
Preferred:
- Super user ezyVet experience
- Experience with ADP RUN payroll system
- Experience reviewing financial statements and practice KPIs
- Experience with vendor relationships
Job Type: Full-time
Pay: $55,000.00 - $65,000.00 per year
