Front Desk / Administrative Assistant- Accounting Firm

Davidson & Stone, PLLC is a family-owned accounting and financial services firm in Concord, New Hampshire. We take pride in building lasting client relationships and maintaining a welcoming, professional office environment.

We are seeking a dependable, personable, and detail-oriented Front Desk/Administrative Assistant to serve as the face of our front office and provide administrative support to our CPAs and financial advisors.

This is an in-person position involving regular client contact, telephone communication, document handling, office errands, and general administrative support. The role does not require preparing tax returns or providing accounting or financial advice.

Responsibilities

Greet clients and visitors and maintain a clean, organized reception area
Answer, screen, and direct incoming telephone calls professionally
Take accurate messages and communicate routine information to clients
Assist with calendar coordination
Receive, scan, name, organize, and electronically file client documents
Assemble and process completed tax returns for delivery to clients
Prepare documents, correspondence, mailings, and delivery packages
Assist CPAs and financial advisors with routine administrative tasks
Make bank deposits and perform local business errands
Order, organize, and maintain office supplies
Enter basic information into accounting or office-management/billing software
Maintain accurate records and follow established office procedures
Handle confidential financial and personal information with discretion
Provide general support to keep daily office operations running smoothly

Required qualifications

Previous receptionist, customer service, or administrative experience
Professional and courteous communication skills in person, by telephone, and by email
Strong attention to detail and ability to follow written procedures
Reliable attendance and punctuality
Ability to organize work, prioritize routine tasks, and follow through
Basic computer proficiency, including:
Comfortable creating and editing basic Word documents
Microsoft Outlook for email, contacts and calendars
Microsoft Excel for basic data entry and spreadsheet tasks
Ability to maintain confidentiality
Valid driver’s license and reliable transportation for occasional bank deposits and local errands
Ability to work cooperatively in a small office environment

Preferred qualifications

Experience in an accounting, bookkeeping, tax, banking, financial-services, legal, or other professional-services office
Familiarity with tax-return assembly, document-management systems, or secure client portals
Experience handling confidential client information
Familiarity with accounting or tax software

Accounting/tax experience or financial background is helpful but not required. We will provide training on our office procedures and software; however, candidates should already be comfortable with basic administrative tasks, professional client communication, and accurate document handling.

Processing completed tax returns for delivery may include printing, assembling, scanning, organizing, copying, mailing, and uploading documents according to established procedures. This position does not involve preparing or reviewing tax returns.
