About Us

Baumholtz Plastic Surgery is a busy, boutique plastic surgery practice in San Antonio led by Dr. Michael Baumholtz — "Dr. B" — a Board-Certified Plastic and Reconstructive Surgeon. Dr. B prides himself on the relationships he builds with every patient and believes in helping people look and feel better about themselves. He is on staff at Christus Santa Rosa and Cumberland Surgical Hospital, serves the Audie L. Murphy VA, is teaching faculty at the UTHSCSA Plastic Surgery fellowship, and is a member of the American Society of Plastic Surgeons (ASPS), the Aesthetic Society (ASAPS), and the Bexar County Medical Society. We are small, high-performing, and patient-obsessed — and we're looking for an Office Manager to be the operational backbone of the practice.

About the Role

This is the person who makes the practice hum. You'll run day-to-day operations, keep the books tight and the schedule full, lead a small front-office and clinical team, and protect the patient experience from the first phone call to the final post-op visit. You report directly to Dr. B and act as the liaison between him and the staff. If you're an organized, financially savvy leader who thrives in a fast-paced service environment and takes real ownership, you'll love this seat.

What You'll Do

Operations — Keep the office running smoothly day to day: staff scheduling, workflow, supplies, vendor and facility management, and the systems that keep a surgical practice on time and on standard. Own our SOPs and make sure they're followed.

Finance & Billing — Oversee billing and collections, accounts payable/receivable, payroll, and daily reconciliation. Maintain tight financial controls and clean records, prepare regular financial and production reports for Dr. B, and flag issues early.

People & Culture — Lead, schedule, and train the team. Handle the day-to-day personnel pieces — coverage, conflict resolution, morale — and keep a calm, positive, drama-free culture around a busy surgeon and a demanding schedule.

Patient Experience — Set the standard for five-star service. Make sure phones are answered promptly, leads are followed up fast, consultations convert, and every patient feels looked after. Help drive our reviews and reputation.

Compliance — Keep the practice compliant with HIPAA, OSHA, and medical-office standards; maintain accurate records and personnel files; keep the office audit-ready.

What We're Looking For

You're a natural organizer and problem-solver who can hold a lot of moving parts without dropping any. You're trustworthy with confidential and financial information, comfortable with numbers and QuickBooks, and calm under pressure. You lead people well, communicate clearly, and have a genuine service mindset. Experience in a medical, dental, plastic surgery, med spa, or other high-touch service business is a big plus — but we'll seriously consider a strong operator from hospitality, luxury retail, or another service-leadership background who can learn the healthcare-specific pieces quickly.

Education & Experience

- High school diploma required; college coursework or degree preferred

- 3+ years in an office management, operations, or business-leadership role

- Proven experience with bookkeeping, payroll, AP/AR, and QuickBooks (or similar)

- Experience leading and scheduling a team

- Plastic surgery, med spa, dental, or medical-office experience preferred (not required for the right operator)

- Working knowledge of HIPAA/OSHA a plus; willingness to get up to speed quickly is a must

- Proficiency with Microsoft Office; comfort with practice-management software and Apple devices

Compensation & Benefits

- $52,000–$82,000 per year, depending on experience, plus performance bonuses tied to practice KPIs

- Paid time off: 40 hours in year one, and 80 hours per year thereafter for employees in good standing
