Administrative Assistant

Coastal Carolina University is currently accepting applications for one full-time position: Administrative Assistant for the Burroughs and Chapin Center for Marine and Wetlands Studies.

This Administrative Assistant will offer support for Burroughs & Chapin, Center for Marine & Wetland Studies the Environmental Quality Collaborative (EQC), and the Hetzer Center for Biomedical Sciences (HCBS).This position involves helping the Center Executive Directors to maintain and update Center budget; office management; personnel; procurement; and travel functions; assist faculty, students, parents, community guests, and external partners; generally, assist with and monitor all Center activities. The position is a key liaison between the respective Centers and other administrative offices such as the Gupta College of Science and Engineering, Office of Sponsored Programs and Research Services and others.

Administrative Assistant (AA75/61122315), full-time position with benefits. SC State Pay Band Gen06. Salary range: $37,200.00 (minimum) – $48,300.00 (midpoint). Normal work hours are Monday through Thursday, 8:00 a.m. to 5:00 p.m. and Friday, 8:00 a.m. to 12:30 p.m. Must be flexible to meet the special scheduling needs of the university.

Duties include, but not limited to:

1. Serves as Administrative Assistant, liaison, and proxy for the Burroughs and Chapin Center for Marine and Wetland Studies, the Environmental Quality Collaborative, and the Hetzer Center for Biomedical Sciences; handles various correspondence with the Centers from faculty and staff from across the eight departments of the Gupta College of Science and Engineering related to coastal STEM issues, other offices and departments on campus, current and prospective students, alumni, parents, and the general public; coordinates visits with guests from the community and from our external partners. Provides exceptional customer service to all constituents, including but not limited to, faculty, staff, students, visitors and the community at large.

2. Coordinates and performs fiscal management activities, monitors and maintains the Centers program budgets, grant budgets in coordination with faculty PIs, and accounting functions; initiates and organizes budget requests; responds to budget audits. Seamless navigation of budget and administrative workflow from initial requests through the University’s systems. Coordinates and performs personnel management activities; oversee processes that lead to successful interviews of candidates, training, supervision by Center personnel, and provides information to student workers and part-time employees that support the Centers; prepares and oversees all hiring and salary paperwork for the Centers in conjunction with the HR Service Center Rep.

3. Coordinates and performs procurement management activities; coordinates and tracks all Center purchasing including grant-related purchasing for faculty and staff that are working with the Centers; coordinates and tracks all FedEx purchases and orders to ship out various equipment for repair/calibration; maintains P-Card; serves as PCard liaison; oversees purchasing of basic Center supplies. Completes complex ePro-orders, processes purchase requisitions and accompanying documentation, purchases orders with state issued purchasing and travel card, processes expenses settlements/reimbursements and travel approvals/reimbursements, budgeting and assist with limited liaison purchasing card duties.

4. Coordinates and tracks all related paperwork for the Centers. Coordinates and oversees all travel activities/paperwork and event/program paperwork for activities of the Center. Facilitates submittal of contracts, MOU’s and permits associated with the Centers and related grant initiatives and activities with CCU Legal Counsel, Office of Sponsored Programs and Research and other offices as applicable. Maintains copies of all contracts, permits, MOU’s as well as technology/software licensing and maintenance agreements tacking end and needed renewal dates for all contracts, licenses, permits and other program commitments and financial instruments. In addition, coordinates and tracks all related paperwork for boat usage, repair, maintenance, and scheduling. Serve as point of contact for FedEx deliveries for the Centers.

5. May have to drive to complete tasks including taking the vehicle in for service, the post office, or DMV for registrations. Will have to track monthly mileage on Center and Marine Nautical Operation vehicles.

Required Qualifications

Knowledge, Skills & Abilities

The employee must have excellent organizational, interpersonal, and communication skills. Strong typing and computer skills are required, including proficiency with various software packages (MS Word and Excel, email, internet, ability to learn Procurement programs; must have good time management and office management skills and be able to work cooperatively with diverse groups. Must have personnel management skills (will train/supervise multiple part-time and student workers); must be able to maintain and track departmental and grant budgets; must be able to coordinate paperwork for student records, hiring, purchasing, travel and grant transactions. Must be able to communicate effectively and work cooperatively with faculty, staff, students, parents and the general public.
