The Knox School seeks a highly organized, personable, and creative Admissions & Enrollment Assistant to support the daily operations of the Admissions Office. As one of the first points of contact for prospective students and families, this individual plays an important role in creating a welcoming, responsive, and professional experience while supporting the school's enrollment and recruitment efforts.
This position combines administrative support with communications, event coordination, and enrollment marketing. The successful candidate enjoys working with people, is exceptionally organized, possesses strong communication and design skills, and thrives in a collaborative, fast-paced environment where no two days are exactly alike.
Primary ResponsibilitiesAdmissions & Family Engagement
- Serve as a welcoming first point of contact for prospective students, families, educational consultants, and visitors.
- Respond professionally to admissions inquiries by phone, email, and in person.
- Schedule and coordinate campus tours, interviews, shadow visits, and admissions appointments.
- Assist families throughout the admissions process by providing timely information and support.
- Represent The Knox School professionally at admissions events and recruitment activities.
Admissions & Enrollment Operations
- Process inquiries, applications, and enrollment documents using the school's admissions management system.
- Create, organize, and maintain applicant files and enrollment records.
- Monitor receipt of required application materials and communicate with families regarding outstanding items.
- Prepare admissions packets, enrollment materials, student files, and correspondence.
- Maintain accurate applicant records and assist with enrollment reports and data management.
- Handle confidential student and family information with discretion and professionalism.
Enrollment Marketing & Communications
- Assist in the planning and execution of enrollment marketing initiatives that support student recruitment.
- Design and schedule email marketing campaigns using Constant Contact.
- Create print and digital advertisements, promotional graphics, and recruitment materials using Canva.
- Assist in designing admissions publications, event signage, presentations, and promotional merchandise.
- Coordinate the ordering and inventory of admissions materials, branded giveaways, and recruitment displays.
- Assist with photography, content collection, and other communications projects that showcase The Knox School.
Campus Visits & Admissions Events
- Assist in planning and executing Open Houses, information sessions, educational fairs, and other admissions events.
- Prepare visitor materials, welcome packets, event supplies, and campus signage.
- Coordinate schedules with faculty, student ambassadors, and other departments to ensure exceptional visitor experiences.
- Support on-campus and off-campus recruitment activities as needed.
Administrative Support
- Maintain office calendars and schedule meetings.
- Prepare reports, spreadsheets, correspondence, and mailings.
- Order and maintain office supplies.
- Assist with special projects and perform other duties as assigned.
QualificationsRequired
- Bachelor's degree required.
- Excellent written, verbal, and interpersonal communication skills.
- Outstanding organizational skills and exceptional attention to detail.
- Strong customer service skills with a warm, welcoming, and professional demeanor.
- Ability to manage multiple priorities while maintaining accuracy and meeting deadlines.
- Proficiency with Microsoft Office and Google Workspace.
- Proficiency with Canva and the ability to create polished print and digital marketing materials.
Preferred
- Experience working in admissions, enrollment management, education, hospitality, customer service, or a related field.
- Experience using Blackbaud or another CRM/admissions management system.
- Experience creating email campaigns using Constant Contact or a similar email marketing platform.
- Experience coordinating events and managing multiple projects.
- Familiarity with basic graphic design principles and brand standards.
