Job Summary

McAdams Group is seeking a highly organized and adaptable Operational Support Associate to provide cross-functional administrative and operational support to the tax, customer service, and estate planning teams. Reporting to the Office Manager, this position will help maintain efficient day-to-day operations and provide additional capacity to teams during periods of increased demand, particularly during tax season.

The ideal candidate is dependable, detail-oriented, and comfortable working across multiple functions. This individual should be able to prioritize competing demands, handle confidential information with discretion, and transition seamlessly between responsibilities based on business needs.

Key Responsibilities

Cross-Functional Operational Support

Provide administrative and operational support to the tax, customer service, and estate planning teams based on business priorities.
Assist with document preparation, organization, processing, and record maintenance.
Enter, update, and maintain information accurately across internal systems and files.
Track outstanding documentation, tasks, and follow-up items to support timely completion of team workflows.
Assist with administrative projects and process-related initiatives as directed by the Office Manager.
Provide additional support during peak periods and adjust priorities as operational needs change.

Tax Season Support

Provide dedicated administrative support to the tax team during peak tax season.
Assist with organizing and processing tax-related client documents and information.
Support workflow tracking and administrative follow-up to help the tax team meet deadlines.
Maintain accurate and organized tax files in accordance with established procedures.
Handle sensitive tax and financial information with a high degree of confidentiality.

Client & Team Support

Assist the customer service team with administrative tasks that support timely and effective client service.
Support the estate planning team with document organization, administrative processing, and workflow coordination.
Communicate professionally with internal team members and, when appropriate, clients regarding administrative matters.
Ensure requests and tasks are appropriately prioritized, completed, and communicated to the relevant team members.
Contribute to a positive, collaborative, and service-oriented team environment.

Administrative & Quality Standards

Maintain accurate, organized, and up-to-date electronic and physical records.
Review completed work for accuracy and completeness.
Follow company procedures for document handling, data management, confidentiality, and information security.
Identify missing information, discrepancies, or process issues and escalate them appropriately.
Maintain professionalism, discretion, and attention to detail across all responsibilities.
Perform other duties as assigned by the Office Manager.

Qualifications

Required

At least 2 years of experience in an administrative, operational, customer service, or professional office role.
Exceptional attention to detail and a consistent commitment to accuracy and quality.
Strong organizational and time-management skills, with the ability to effectively prioritize and manage multiple responsibilities.
Demonstrated professionalism, reliability, and sound judgment in a fast-paced work environment.
Strong written and verbal communication skills, with the ability to communicate clearly and professionally with colleagues and clients.
Ability to work independently, take initiative, and contribute effectively as part of a collaborative team.
Proficiency in Microsoft Office, including Word, Excel, and Outlook.
Ability to quickly learn and effectively use new systems, processes, and software.

Preferred

Experience in tax, accounting, financial services, estate planning, wealth management, or another professional services environment.
Experience supporting multiple departments or working in a cross-functional administrative role.
Familiarity with CRM, document management, or workflow management systems.
Experience working in a seasonal or high-volume environment.
