CC Turnkey Events is a comprehensive hospitality and event management company specializing in food and beverage operations, facility management, restaurants, event venues, large-scale catering, corporate dining, concessions, and special events.
Our organization manages multiple brands, venues, and business operations simultaneously. Technology is a major part of how we operate, including point-of-sale systems, online ordering, inventory platforms, CRM systems, accounting software, employee systems, websites, loyalty programs, automation tools, AI platforms, and other business applications.
The Role
We are hiring an Executive Operations Assistant & Technology Coordinator to work directly with the Operating Partner/CEO.
This is a hybrid position combining executive administrative support, technology and systems support, business operations, bookkeeping assistance, project coordination, HR administration, hospitality systems, and light marketing/design work.
This is not a traditional administrative assistant position.
We are specifically looking for someone who is exceptionally comfortable with computers and technology and who enjoys figuring out how systems work.
The ideal candidate is the type of person who, when presented with unfamiliar software or a technology problem, does not immediately say, “I don't know how to do that.” Instead, they research it, troubleshoot it, learn the system, contact the appropriate vendor when necessary, and work toward a solution.
You will frequently assist the CEO with evaluating, implementing, improving, and connecting technology across multiple companies and locations.
You do not need to be a software developer or traditional IT engineer. However, you should have significantly stronger technology skills than the average administrative professional.
Technology, Systems & Automation
A major responsibility of this position will be helping improve how technology is used throughout the organization.
Responsibilities may include but not limited to:
- Serve as an internal first point of contact for everyday technology and software issues.
- Troubleshoot computers, software applications, printers, user accounts, permissions, tablets, POS terminals, and other business technology.
- Learn and administer business software used throughout the organization.
- Assist with implementation and ongoing management of Toast POS, Clover, online ordering platforms, restaurant technology, inventory systems, and payment systems.
- Help configure products, discounts, employee programs, loyalty programs, gift cards, menus, permissions, reporting, and related POS functions.
- Assist with implementation of employee discount and identification programs.
- Research and help implement new restaurant and hospitality technologies.
- Help connect and improve communication between POS, accounting, CRM, inventory, online ordering, loyalty, marketing, and other business platforms.
- Research available APIs, integrations, connectors, imports/exports, and automation opportunities between systems.
- Assist with platforms such as Zapier, Make, or similar automation tools when appropriate.
- Identify repetitive administrative processes that can be automated.
- Assist with CRM development, configuration, data organization, and integrations.
- Help develop better inventory-control and reporting systems across multiple locations.
- Assist with website and online-ordering technology.
- Maintain and update websites using platforms such as Wix.
- Research technology vendors and compare potential solutions.
- Communicate with software vendors and technical-support teams to resolve issues.
- Document technology processes and create instructions/SOPs for managers and employees.
- Assist with user setup, account access, passwords, permissions, and software onboarding.
- Help train managers and employees on newly implemented systems.
AI & Emerging Technology
We actively use and explore artificial intelligence to improve business operations.
This position will help the CEO research, test, and implement practical AI applications throughout the organization.
Responsibilities may include but not limited to:
- Use tools such as ChatGPT, Microsoft Copilot, Claude, Gemini, or other AI platforms for appropriate business applications.
- Identify processes where AI can reduce repetitive administrative work.
- Help develop AI-assisted workflows for reporting, data organization, marketing, customer service, training, operations, and management.
- Research new AI products and determine whether they could provide practical value to the organization.
- Assist with AI integrations and automation between existing business systems.
- Help create internal AI procedures, prompts, workflows, and documentation.
- Understand the importance of protecting confidential company, employee, customer, and financial information when using AI systems.
Prior professional AI experience is not required, but strong curiosity and the ability to rapidly learn emerging technology are extremely important.
Executive & Administrative Support
- Provide direct administrative support to the Operating Partner/CEO.
- Manage calendars, meetings, appointments, and scheduling.
- Coordinate travel arrangements.
- Prepare professional correspondence, reports, presentations, and internal documents.
- Track follow-ups, deadlines, commitments, and action items.
- Assist with special projects assigned by the CEO.
- Maintain confidential business and personal information under a signed NDA.
- Perform document preparation, proofreading, transcription, filing, and data entry.
- Maintain organized electronic and physical records.
- Manage multi-line phone systems and professional inquiries.
- Maintain office supplies and assist with general office management.
Financial & Business Support
- Assist with bookkeeping and financial administrative tasks.
- Work with QuickBooks Online or similar accounting systems.
- Assist with invoicing, expense tracking, account documentation, and data entry.
- Help prepare internal financial and operational reports.
- Assist with reconciliation support and documentation gathering.
- Maintain accurate financial records and supporting documentation.
- Understand and appropriately use common business and financial terminology.
- Assist with inventory tracking and cost-control projects.
- Organize information from multiple systems into usable management reports.
- Use Excel or Google Sheets to organize, analyze, and reconcile information.
Operations & Project Support
Because CC Turnkey Events operates multiple venues and businesses, priorities can change quickly.
Responsibilities include but not limited to:
- Track projects, deadlines, deliverables, and responsibilities.
- Coordinate with general managers, chefs, accounting, marketing, sales, venue teams, and outside vendors.
- Assist with restaurant, catering, facility, and event-related projects.
- Research products, vendors, software, and operational solutions.
- Obtain quotes and organize vendor comparisons.
- Assist with inventory-management initiatives.
- Prepare proposals, sponsorship materials, internal reports, and presentations.
- Follow up with managers and vendors to ensure projects are completed.
- Help develop and improve company procedures and SOPs.
- Identify inefficient processes and recommend better ways of completing them.
Human Resources & Employee Administration
- Assist with job postings and applicant organization.
- Schedule and coordinate interviews.
- Assist management with employee onboarding.
- Maintain employee documentation.
- Assist with tracking payroll-related information, deductions, and employee records.
- Help coordinate responses to routine employee questions and concerns.
- Assist management with documenting employee issues as directed.
- Maintain strict confidentiality regarding personnel information.
Marketing, Creative & Brand Support
This is not primarily a graphic-design position, but basic creative abilities are important.
- Use Adobe Photoshop for basic image editing and design work.
- Use Canva or similar design platforms.
- Assist with flyers, signage, presentations, menus, promotional materials, and internal branding.
- Assist with social-media and marketing projects as needed.
- Support company merchandise programs.
- Assist with designing, ordering, and tracking branded merchandise.
- Help manage gift-card and loyalty programs.
- Assist with sponsorship decks and proposals.
- Maintain basic website content using Wix or similar platforms.
Required Qualifications
Candidates should have:
- Advanced overall computer aptitude.
- Strong ability to learn unfamiliar software independently.
- Strong technology troubleshooting and problem-solving ability.
- Confidence working across multiple software platforms simultaneously.
- Strong Microsoft Office skills, particularly Excel, Word, Outlook, and PowerPoint.
- Google Workspace skills.
- Basic Adobe Photoshop experience.
- Excellent internet research skills.
- Strong organizational and project-management abilities.
- Excellent written and verbal communication.
- Strong attention to detail.
- Ability to handle confidential financial, employee, and business information.
- Ability to manage multiple priorities across multiple companies and locations.
- Ability to work independently and take ownership of problems through resolution.
Highly Preferred Experience
Experience with any combination of the following is highly desirable:
Toast POS, Clover, QuickBooks Online, restaurant POS systems, inventory-management platforms, CRM software, online ordering, loyalty programs, APIs/integrations, Zapier, Make, Microsoft Power Automate, ChatGPT or other AI tools, Wix, WordPress, Photoshop, Canva, Google Workspace administration, Microsoft 365, user-account administration, software implementation, technical support, database management, advanced Excel, project-management platforms, or hospitality technology.
You do not need experience with every system listed above.
We are more interested in someone who has demonstrated the ability to quickly understand technology and figure things out independently than someone who has simply used one particular software package.
