Position Overview
The Grants and Program Financial Coordinator is a pivotal role at Family Tree Relief Nursery, designed for a dynamic individual who excels in grant writing initiatives and financial stewardship. This position requires a proactive leader who is not only a skilled writer but also a strategic thinker capable of identifying and pursuing funding opportunities that propel the organization forward. Collaborating closely with Senior Directors, you will develop compelling proposals, ensure compliance with grant requirements, and contribute to the financial growth of our programs. This role also involves representing the organization at community events, forging partnerships with other nonprofits, and being an advocate for our mission. The ideal candidate will possess exceptional writing skills, a robust understanding of the nonprofit funding landscape, and a relentless commitment to enhancing program effectiveness.
Key Responsibilities
Grant Writing (50%):
- Proposal Development: Research, draft, and submit high-quality grant proposals to diverse funding sources, ensuring alignment with the organization's mission and program goals.
o Develop and maintain a grant proposal calendar to track submission deadlines and required documentation.
o Review and edit proposals for clarity, coherence, and adherence to funder guidelines.
- Funding Research: Continuously identify and assess potential grant opportunities, maintaining a database of relevant funders and their requirements.
o Analyze trends in funding to identify emerging opportunities that align with the organization's strategic goals.
o Create and maintain a comprehensive funding prospectus to share with the team for ongoing planning.
- Collaborative Writing: Work with program managers and staff to collect data, stories, and information necessary for compelling proposals.
o Facilitate brainstorming sessions with stakeholders to gather insights and enhance the quality of proposals.
o Ensure that all proposals are reviewed by relevant parties before submission to incorporate diverse perspectives.
Program Support and Financial Oversight (25%):
- Funding Coordination: Assist in identifying and securing funding opportunities to support existing programs, working closely with Program Leaders to ensure funding aligns with program needs.
o Collaborate with Program Leaders to track and manage funding allocations effectively, ensuring adherence to grant requirements and timelines.
- Program Evaluation Support: Help develop metrics and processes for evaluating program effectiveness and impact, ensuring compliance with grant-related reporting.
o Collaborate with Program Leaders to set measurable goals and benchmarks for program success.
o Analyze program data to assess performance and identify areas for improvement.
- Reporting: Prepare timely and comprehensive reports for funders, detailing program outcomes, challenges, and future plans.
o Compile quantitative and qualitative data to provide a holistic overview of program effectiveness.
o Develop visual presentations of program results to facilitate clear communication with stakeholders.
- Training and Guidance: Provide support and training to staff on grant management best practices and program documentation requirements.
o Create training materials and resources to equip staff with the knowledge necessary for effective grant processes and compliance.
o Conduct workshops and coaching sessions to enhance staff skills in grant tracking and reporting.
Organizational Support and Community Engagement (15%):
- Stakeholder Engagement: Represent Family Tree Relief Nursery in meetings with funders and community partners, effectively communicating program needs and successes.
o Build and maintain relationships with key stakeholders to foster collaboration and support across all programs.
o Develop compelling communication materials that highlight program successes and funding needs for stakeholder meetings.
- Grant Coordination: Collaborate with the Program Outreach Coordinator to align efforts in securing funding opportunities and represent the organization at community events, including tabling and networking functions.
o Assist in preparing outreach materials and presentations for community engagement.
o Monitor and evaluate the outcomes of community engagement efforts to refine future strategies.
- Administrative Duties: Organize materials for grant submissions and program meetings, assisting in maintaining accurate records related to grant activities.
o Implement a systematic filing process to ensure easy access to grant-related documents and reports.
o Regularly update the database of grant activities to reflect progress and outcomes.
Other Duties (10%):
- Perform additional tasks and responsibilities as assigned by the Executive Director or the Senior Directors to support the overall goals of Family Tree Relief Nursery.
- Adapt to changing organizational needs and take on new challenges to enhance program delivery and client services.
- Participate in special projects or initiatives as needed to further the mission and objectives of the organization.
General Expectations:
- Attending required supervision, team meetings, All Staff meetings, and training sessions.
- Participate in assigned community, work, and family events.
- Complete data and reports within specified timeframes.
- Adhere to health and safety standards in compliance with state regulations.
- Follow state guidelines for mandated reporting of suspected abuse or neglect.
- Document hours and mileage according to Relief Nursery policy.
- Maintain a neat, clean, and professional appearance at all times.
- Keep an acceptable driving record and maintain a valid driver’s license, reliable vehicle, and auto insurance during employment.
- Uphold strict confidentiality per Relief Nursery policies.
- Serve on one internal Family Tree Relief Nursery Committee and carry out assigned duties as agreed in regular meetings.

Requirements:
Minimum Qualifications and Experience
- Education: Bachelor’s degree in nonprofit management, communications, public administration, or a related field; relevant experience may substitute for formal education. Completion of a certificate program in grant writing is highly desirable.
- Experience:
o Minimum of five (5) years of experience in grant writing within the nonprofit sector, demonstrating a strong track record of successful grant submissions and funding acquisition.
o Experience in program support or project management is beneficial; supervisory experience is a plus.
o Exceptional writing and communication skills, with the ability to articulate complex ideas clearly and persuasively in written proposals.
o Strong analytical and organizational abilities, capable of managing multiple grant proposals and deadlines effectively.
o Proficiency in data management and reporting software, along with experience in creating compelling narratives supported by data.
o Familiarity with federal, state, and private grant processes, including understanding funder priorities and guidelines.
- Interpersonal and Research Skills:
o Strong relationship-building skills to effectively collaborate with program staff and stakeholders.
o Ability to conduct thorough research to identify funding opportunities and understand application processes.
- Dependability and Flexibility:
o Dependable, punctual, and possess strong time management skills, along with a willingness to adapt to changing organizational priorities.
o Basic knowledge of child maltreatment indicators and prevention; recent training in mandatory reporting is required and will be provided as paid training by Family Tree Relief Nursery.
o Commitment to the mission and values of Family Tree Relief Nursery, with a passion for supporting children and families.
o Maintain enrollment in the State Childcare Division Central Background Registry.
o Must obtain and maintain Oregon Food Handler’s Card and Adult/Pediatric CPR & First Aid certifications.
o Reliable transportation, valid driver’s license, and personal auto liability coverage, with a driving record eligible for coverage under the corporate liability policy. Completion of the agency’s driving approval process is mandatory for all employees driving for work purposes.
Physical and Mental Demands: The role requires the ability to sit, stand, walk, bend, lift (up to 25 lbs.), push, pull, reach, manipulate, carry, and key/type. It also involves intense mental and visual attention for complex tasks that require planning and execution. Working Conditions: Typically performed in comfortable conditions with minimal disagreeable elements. Attendance and Safety: Adherence to FTRN attendance and call-in policies is essential, along with understanding and following all safety rules and standards in compliance with company policy.
