JOB DESCRIPTION
POSITION: Accounting / Office Assistant
CLASSIFICATION: Non-exempt
BASIC FUNCTION: To manage the overall program accounting and budget reporting utilizing the fiscal procedures and policies which will provide effective control and informational requirements. To also greet customers at the front desk and field telephone calls. Assist program staff in the distribution and preparation of written materials and general office duties.
QUALIFICAITONS:
1. Education- Accounting Certification from an accredited university in an accounting or related field and/or equivalent work experience. Demonstrated work experience in a position of accounting including college practicum and/or responsible volunteer services.
2. Demonstrate an ability to relate to the public, staff members, low-income parents, school personnel, etc.
3. Exhibit an aptitude for accurate record keeping, reporting and writing.
4. Maintain flexibility in meeting job responsibilities.
5. Show the ability to function effectively and appropriately with various community agencies, programs and professionals. Maintain a professional image while representing Head Start.
6. Exhibit flexibility, willingness and commitment to attend professional meetings and training.
7. Maintain the ability to communicate and remain courteous and professional with children, parents, and staff members always.
8. Possess a sincere commitment to the philosophy of Head Start and to the objectives of an early childhood intervention program.
SPECIAL CONDITIONS: The Accounting Assistant must have the ability to demonstrate the physical and cognitive capabilities to fulfill the essential functions of the job.

While performing the duties of this job, the employee is frequently required to talk or hear. The employee is occasionally required to stand, walk, sit, use hands to manipulate, handle or feel objects, tools or controls, reach with hands and arms.
The employee must regularly lift and/or move up to ten (10) pounds, frequently lift and/or move up to twenty-five (25) pounds and occasionally lift and/or move up to fifty (50) pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus.
ESSENTIONAL RESPINSIBILITIES AND FUNCTIONS: INCLUDE THE FOLLOWING,
OTHER DUTIES MAY BE ASSIGNED.
1. Process Accounts Payable; Experience with Quick Books
2. Responsible for all bank deposits received and approved by the Fiscal Officer and Executive Director.
3. Assist with USDA application, monthly billing, required reports, attendance & meal counts & edit checks before submitting the bill.
4. Prepare checks and obtain appropriate signatures for accounts payable.
5. Make all approved purchases
6. Procure supplies for sites (analyze vendors, prepare expenditure analysis/bid sheets, order, verify receipt, correct deficiencies and distribute).
7. Ensure all Purchase Orders have approval from Executive Director/ Fiscal Officer.
8. General program operations (i.e. phone/computer basic concerns and repairs).
9. Coordinate and maintain program inventory with assistance of the Fiscal Officer
10. Develop, manage, and monitor the sign-out (van, keys, inventory, phone) systems for all shared resources (camera, resource materials, etc.) and for the end of the year checklist of reports required by staff (inventory, purchase requests, etc.).
11. Complete general typing duties as requested.
12. Track and file all in-kind and report monthly.
13. Maintain functions of the front desk operations in an organized, professional, and
courteous manner as needed. Greet the public and handle their needs appropriately.
14. Respect the confidentiality of children, families and staff.
15. Always dress appropriately for the job. Avoid provocative clothing. Avoid loose or dangling jewelry that children could grab or become caught in equipment, or sharp objects or pins that could injure children. Wear footwear that minimizes the possibility of slips and falls. Wear clean clothes and practice good hygiene.
16. Answer the office phone and direct calls as needed.
17. Read and adhere to all policies and procedures set forth in the Child Care Resources, Inc. Policies and Procedures Manual.
18. Keep and maintain passwords
19. Assist in preparing and distributing all program training/meeting agendas and materials.
20. Assist in the distribution of written information to staff, parents, and other agency personnel.
21. Prepare all documents, forms, or reports as requested by the program area managers.
22. Direct all questions/concerns to the correct responsible party.
