Job Summary

We are seeking a dynamic and highly organized Personal Assistant to provide exceptional administrative support to our executive team. This role is vital in ensuring smooth daily operations, managing complex schedules, coordinating projects, and facilitating effective communication across departments. The ideal candidate will be proactive, detail-oriented, and thrive in a fast-paced environment, demonstrating excellent organizational skills and technical proficiency. As a key partner in our team, you will help enhance productivity and ensure that our executives’ priorities are seamlessly managed.

Duties

Manage and coordinate executive calendars, scheduling meetings, appointments, and events with precision using tools like Microsoft Outlook Calendar and Google Workspace.
Provide comprehensive executive administrative support, including preparing reports, proofreading documents, transcribing notes, and managing correspondence.
Organize and facilitate event planning for company meetings, conferences, and special events to ensure flawless execution.
Handle phone etiquette professionally across multi-line phone systems and manage incoming inquiries with courtesy and efficiency.
Oversee office management tasks such as filing, data entry, maintaining office supplies, and front desk responsibilities to keep the workspace organized and efficient.
Utilize productivity software such as Microsoft Office Suite to create presentations, spreadsheets, and documents that meet high standards of quality.
Coordinate projects across departments by tracking deadlines, preparing status reports, and collaborating with team members to achieve objectives.
Manage bookkeeping tasks using QuickBooks or similar software for accurate financial record-keeping and basic bookkeeping duties.
Facilitate virtual meetings using video conferencing software like Zoom or Teams to ensure seamless communication regardless of location.
Support the use of electronic signature platforms such as DocuSign for contract management and approvals.

Experience

Proven experience as a Personal Assistant or Executive Assistant supporting C-suite executives or senior management teams.
Demonstrated proficiency in office management tasks including filing systems, clerical work, and customer service functions.
Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
Technical proficiency with productivity software including Microsoft Office (Word, Excel, PowerPoint), Google Workspace applications, and data entry tools.
Experience with calendar management tools such as Microsoft Outlook Calendar or Google Calendar is essential.
Familiarity with bookkeeping software like QuickBooks along with basic accounting knowledge is preferred.
Excellent written and verbal communication skills coupled with professional phone etiquette.
Ability to handle confidential information discreetly while maintaining a high level of accuracy through proofreading and transcription skills.
